We are currently looking for a full time permanent Coordinator to join our Specialist Accreditation team.
About the role and the team
The Specialist Accreditation team, comprising the Program Leader and three Coordinators, manages the Specialist Accreditation Program, which recognises practitioners with advanced competence in specific areas of practice. This role provides coordination and administrative support for the Program, including communication with applicants, advisory committees, and current Specialists, as well as general departmental duties. The Specialist Accreditation team forms part of the broader Professional Development team within the Membership and Engagement department.
What you'll be doing
- Provide administration and co-ordination support to the Advisory Committee.
- Schedule and attend monthly Committee meetings via online platforms and/or face to face.
- Prepare associated documentation i.e. agendas, minutes, and papers.
- Work with Committee members to ensure they successfully complete their tasks.
- Enter and process candidate applications and payments, and maintain accurate candidate database (Polaris) records.
- Prepare and send relevant acknowledgement letters, invoices and receipts to candidates.
- Organise candidate reimbursements in a timely manner and be familiar with the conditions relating to reimbursements.
- Answer candidate queries and provide support in relation to the Program and special consideration requests.
- Involvement in candidate information sessions across the areas of law.
- Upload candidate exams and assessments into the candidate and assessor portal and enter candidate results into the database.
- Coordinate and participate in candidate assessment weekends during July/August.
- Finalise candidate results and provide relevant summaries to Committee Chairs, Management and candidates.
- Coordinate candidate reassessment and appeals requests.
- Organise candidate certificates for newly accredited Specialists and assist and attend annual Specialist Accreditation Ceremony.
- Monitor the Specialist Accreditation inbox, acknowledging, allocating and responding to candidate or general queries.
- Assist with the continuous streamlining of the Department's systems and processes as required.
- Assist with communications with specialists or potential specialists including via e-newsletter and campaigns.
- Enter Specialist reaccreditation applications into the database (Polaris) and process application payments and follow up outstanding renewals.
- Maintain accurate reaccreditation records and export status reports from the database (Polaris).
- Prepare and send relevant acknowledgement letters, invoices and receipts to accredited Specialists.
- Organise reimbursements in a timely manner and be familiar with the conditions relating to reimbursements for reaccreditation.
- Answer Specialist queries and provide support in relation to their reaccreditation including special consideration requests, leave of absence, resignations or withdrawals.
- Be familiar with the terms and conditions pertaining to special consideration requests and escalate to Project Leader when necessary.
About you
- Proficiency with Microsoft Office Suite (Word, Excel, SharePoint, MS Teams, PowerPoint, Outlook).
- Experience in financial administration, invoicing, or budget coordination.
- Strong attention to detail, organisational and time management skills.
- Excellent verbal and written communication skills.
- Experience in supporting the delivery of professional / business services and customer care.
- Experience in implementing multiple projects under tight deadlines.
- High level professional skills including communication, written and interpersonal skills.
- Professional discretion and ability to handle confidential information.
- Experience working within a legal or professional services background (desirable).
- Previous experience working with committees or external stakeholders (desirable).
- Aptitude for learning new technologies (desirable).
- A positive, proactive, collaborative and solutions-oriented mind-set.
- Ability to work autonomously and as part of a high-performing team
- Diligent, with high attention to detail and accuracy.
