All Hallows' School, a Catholic Mercy school for girls from Years 5–12, seeks to appoint an Administrative Assistant - Academic Care to join our Community.

Administrative Assistant - Academic Care is part of a collaborative administrative team, working under the direction of the Administrative Services Manager. Central to this role is the responsibility for safeguarding data integrity and accuracy amongst a broad variety of administrative tasks and functions.

This role involves supporting the Heads of Years (5,6 / 7,8 / 9,10 / 11, 12) by providing administrative and organisational support. It requires a high level of attention to detail and flexibility to ensure the smooth operation of daily functions. Decision-making skills and discretion are crucial for prioritising tasks, taking necessary actions, and meeting short and long-term deadlines.

Key Responsibilities

  • Provide proactive administrative assistance to the Heads of Years, ensuring smooth and professional workflows, including calendar management, scheduling appointments, and organising meetings.
  • Maintain and improve file structures and records systems, both physical and digital, ensuring they are easily accessible and securely stored.
  • Respond to staff, student, and parent inquiries promptly and professionally, following established procedures
  • Collaborate with Human Resources to manage record-keeping and payments for Off-Site Activities Assistants.
  • Collect and prepare risk assessment data for cohort events and camps, ensuring medical and health alerts are addressed.
  • Collate and share academic mentoring information with stakeholders and input into school database systems.

Role Requirements

  • Hold and maintain a current Queensland Working with Children Clearance (Blue Card).
  • Have approval to work in Australia.
  • Have or maintain the appropriate clearances, qualifications or registrations required to perform the inherent functions of the role.
  • A commitment to the values and ethos of Catholic education in the Mercy tradition.
