About the Role

This role is part of the Administration Department within Aged and Disability Services, based at the ADS Bexley Office and the Administration Team at the ADS Hurstville Head Office. Reporting to the Corporate Services Manager and the Team Leader, the position is responsible for providing high-level IT and administrative support at the front desk to ensure the smooth and efficient operation of ADS. The role requires strong organisational, communication, and computer skills, the ability to handle sensitive information confidentially, and excellent interpersonal abilities.

Key Responsibilities:

  • Provide high-quality reception and administrative support
  • Manage phone and in-person enquiries professionally
  • Assist with data entry, filing, and document management
  • Support recruitment, onboarding, and HR administrative tasks
  • Maintain office supplies, equipment, and inventory
  • Prepare reports, flyers, and promotional materials
  • Support compliance with ADS policies, confidentiality, and WH&S standards
  • Facilitate smooth communication within the team and with external stakeholders

Selection Criteria

To be considered for this position, applicants should demonstrate:

Essential:

  1. Proven experience and skills in a business support, administrative, or reception environment.
  2. Excellent communication and interpersonal skills, with the ability to interact effectively with clients, staff, and external stakeholders.
  3. High level of computer literacy, particularly in Google Workspace, Microsoft 365 Office, CRM systems, and the ability to adapt quickly to new software applications.
  4. Ability to work collaboratively within a team while maintaining confidentiality and respecting diverse perspectives.
  5. Strong organisational skills with the ability to prioritise tasks, manage multiple responsibilities, and demonstrate proactive problem-solving.
  6. Ability to remain calm, professional, and focused under pressure, especially in a busy environment.
  7. Physically capable of lifting and carrying up to 10 kg.
  8. Hold a current satisfactory National Police Check and/or NDIS Worker Check.
  9. Attention to detail and accuracy in data entry, record keeping, and administrative documentation.
  10. Willingness and ability to travel between the Bexley and Hurstville offices as required.

Desirable:

  1. Cash handling experience and familiarity with financial procedures.
  2. Demonstrated understanding of Work, Health & Safety policies and practices.
  3. Current First Aid certification.
  4. Experience working in aged care, disability services, or community support environments.
