The opportunity we have available

The position of Artbank Office & Facilities Coordinator is responsible for a variety of day-to-day office management, coordination and general administration tasks. You will be an integral part of the team by ensuring that our office operations run smoothly and are successful in supporting other business activities and organisational reporting requirements. The successful candidate for this role will, above all, be an organised and competent professional with phenomenal communication skills. You will be comfortable dealing with people and be able to carry out your range of duties with accuracy and speed.

This role works across facilities and property, accounts and administration and social media teams to ensure a high standard of consistent and engaged service for Artbank's clients, staff, contractors, visitors and stakeholders. As with all positions at Artbank, the successful candidate will make an important contribution towards meeting our program objectives and in doing so, provide essential support to the visual art sector in Australia.

This is a full-time position for someone who has a high attention to detail, is an open and engaging communicator and who values quality customer service - ideally with experience in administration, events management, coordinating facilities and an interest in social media/marketing. The role requires the successful candidate to work out of the Sydney Artbank office in Waterloo, NSW.

What will you do?

Under general guidance and in accordance with APS values and Code of Conduct, Government and Departmental policies and the relevant Secretary's Instructions, the Office Coordinator duties include, but are not limited to, the following:

  • Coordinate the administrative functions of Artbank and maintain a high standard of service to internal and external stakeholders.
  • Coordinate the planned and reactive facilities maintenance requirements for Artbank offices, including seeking relevant quotes for services, tracking status and budget, managing contractors, landlords and agents to ensure maximum operational effectiveness and limited down time.
  • Prepare and support the processing of client documentation.
  • Perform basic finance and bookkeeping tasking including the processing of payables and receivables, reconciliation of credit cards, cab-charge and travel expenses monthly.
  • Coordinate and assist with the preparation of content for social media and marketing activities.
  • Provide general event management support for the delivery of Artbank events and other activities.
  • Take responsibility for the achievements of own and team outcomes, monitor progress and follow through to deliver quality outcomes with a high attention to detail.
  • Participation in and contribution to collaborative relationships within the Department and external agencies and stakeholders, including the general public.

The role requires the successful candidate to be onsite early at our Waterloo premises, at least one morning per week to provide access to maintenance contractors/cleaners.

The successful candidate for this position will be able to demonstrate their capability against the APS3 Work level standards.

We are searching for an excellent all-rounder, someone who is keen to apply their skills and knowledge in a unique arts program managed by the commonwealth government.

We are seeking someone who:

  • Has excellent organisational and administrative skills with demonstrated experience in general accounting and client liaison, ideally in a government context. (Achieve results and quality outcomes)
  • Has demonstrated experience in facilities and event management, the coordination of contractors and the ability to manage competing priorities. (Collaborate across diverse teams)
  • Has excellent written and oral communication skills and the ability to represent Artbank and the Department effectively, this includes; in-person at Artbank events; coordinating Artbank's social media activities and providing accurate information to Artbank clients and stakeholders. (Communicate effectively)
  • Has good IT competency including in the use of Microsoft Office suite, and ideally, client management and account management software
  • Can think strategically, evaluating complex information from a variety of sources to make connections and sound decisions while exercising good judgement. (Think strategically)

Employment with the Department of Infrastructure, Transport, Regional Development, Communications, Sport and the Arts is subject to conditions prescribed within the Public Service Act 1999 including:

    • Citizenship: candidates must be an Australian citizen at the time of submitting your application.
  • Health Assessment: The preferred candidate may be required to undergo a medical examination conducted by the department's preferred medical provider.
  • Security Clearance: The successful candidate must be able to obtain and/or maintain a security clearance at Baseline Level. You must be willing to disclose all relevant and required information. You must have lived in Australia, or have a checkable background, for at least the preceding five years for Baseline Vetting clearances.   • Police check: The successful candidate must satisfactory complete an Australian Federal Police criminal history check.
  • Integrity and Performance check: The successful candidate must satisfy the requirements in an Integrity and Performance check which is completed by your most recent employer.
