Your Opportunity

Our client is a well-established industry leader providing engineered solutions and services across Australia and New Zealand. With over 30 years of success, they continue to grow through innovation, sustainability, and delivering exceptional service to their customers.

They are seeking an Invoicing Clerk to join their team in Melbourne's South Eastern Suburbs. Starting as a 3-month temporary assignment with a strong view to permanency, this role offers an excellent opportunity for an experienced administrator or accounts professional to step into a fast-paced and supportive environment.

Your Role

Reporting to the Financial Controller, the Invoicing Clerk plays a key part in supporting accurate and timely invoicing, maintaining data integrity, and ensuring compliance across SAP and AroFlo systems.

You'll act as the connection between service operations and finance, assisting with job costings, billing, and service record management, while also handling customer queries and liaising with internal stakeholders and external contractors.

Key Responsibilities

  • Process and manage service and field invoicing as well as credit notes
  • Maintain and update equipment cards, service databases, and periodic records in SAP and AroFlo
  • Review completed jobs to ensure they are ready for invoicing
  • Upload and manage invoices through client portals
  • Investigate and resolve customer billing and credit enquiries
  • Liaise with internal teams and suppliers regarding purchase orders and receipting
  • Provide administrative support to ensure compliance and smooth service operations
  • Assist in maintaining accurate documentation and financial records

About You

The ideal candidate will have previous experience in accounts processing, sales invoicing, or accounts receivable, ideally within a customer service or stakeholder-facing administrative role. Experience in manufacturing, industrial, or engineering sectors will be highly regarded, as will prior use of SAP, AroFlo, or similar workflow management systems.

A qualification in Business Administration or Finance (Certificate III, IV, or Diploma level) would be beneficial, along with any short courses in finance systems or administrative efficiency tools. Strong Microsoft Office skills (particularly Excel and Outlook) are essential, as is the ability to multi-task, prioritise, and meet deadlines in a fast-paced environment.

Excellent communication, organisation, and data entry skills are key, and familiarity with technical or service-based operations would be advantageous.

This is a temporary, full-time role based in Melbourns south eastern suburbs, working Monday to Friday, 8.30am to 4.30pm, or 9am - 5pm. Free onsite Parking available.
