About Us

Made Safe Scaffolding is a leading scaffolding provider across NSW, servicing builders, developers and trades with a reputation for safety, reliability and professionalism. We are looking for a highly organised, detail-oriented and "switched on" Office Administrator to join our growing team and provide vital support across quoting, invoicing, scheduling, and general business operations.

This role is central to the smooth running of our business, and we are seeking someone who thrives in a fast-paced environment, is confident with technology and can switch between multiple tasks with accuracy and efficiency.

About the Role

This is a full-time, on-site role in our Padstow office (7:00 am to 3:00 pm, Monday to Friday). You'll work closely with our team and take care of all things admin. Pay rates will depend on level of experience. Immediate start available.

Key Responsibilities:

  • Manage and process quotes, invoices, purchase orders, and job files with accuracy.
  • Maintain and update records in Xero and job management software (AroFlo).
  • Liaise with builders, suppliers, and internal staff regarding scheduling, site information, and job documentation.
  • Assist with onboarding paperwork, compliance documents, and safety forms.
  • Provide general administrative support to management (reporting, filing, correspondence).
  • Identify and resolve discrepancies in documents, accounts, or client details.

Essential Skills & Experience:

  • Proven administration experience in a trade, construction, or service-based business (minimum 2 years).
  • Strong attention to detail – accuracy is critical in this role.
  • Advanced computer skills (Microsoft Word, Excel, Outlook; experience with Xero preferred).
  • Ability to learn and adapt quickly to new systems (training will be provided in AroFlo).
  • Confident communicator, both written and verbal, with strong customer service skills.
  • Ability to prioritise, multitask, and remain calm under pressure.
