Infrastructure Australia (IA) is an independent statutory body within the Infrastructure, Transport, Regional Development, Communications, Sport and the Arts portfolio.

Primary purpose of the role

The Chief of Staff provides high-level strategic and operational support to the Chief Executive Officer (CEO), enabling the CEO to focus on organisational priorities and stakeholder engagement.

This role acts as a trusted advisor and central point of coordination between the CEO, Infrastructure Australia (IA) Commissioners, the leadership team, and external stakeholders.

The Chief of Staff also leads the
Executive and Organisational support team to
drive efficiency and process improvement within the CEO's office, and support IA's strategic priorities while fostering a positive, values-aligned organisational culture.

Key Responsibilities:

Executive Support and Operations

  • Oversee the CEO's diary, email management, travel bookings, and expense reconciliations, ensuring compliance with IA policies.
  • Ensure quality control of all correspondence and compliance with document management processes.
  • Ensure all compliance reporting (including Conflicts and gifts and benefits reporting) for the CEO is timely and accurate.

Strategic and Organisational Alignment

  • Act as a key advisor to the CEO, providing strategic insights, analysis, and support for CEO's decision-making.
  • Support the CEO in monitoring, tracking, and driving the delivery of key organisational priorities and initiatives.
  • Act as a central coordination point across the leadership team to ensure effective communication and alignment on IA's strategic goals.
  • Partner with the Director of Governance, Risk and Compliance to oversee the support for governance and reporting requirements.
  • Manage and coordinate special projects and initiatives on behalf of the CEO to ensure timely and effective delivery.
  • Proactively identify and resolve operational and strategic challenges on behalf of the CEO.

Stakeholder and Communication Management

In close collaboration with the Communications and Engagement and other teams;

  • Manage high-level engagement with government, ministerial offices, Commissioners, and external industry stakeholders on behalf of the CEO.
  • Represent the CEO's interests when liaising with internal and external stakeholders to ensure effective, professional, and timely communication.
  • Manage alignment of Commissioner and CEO engagements in collaboration with the EA to Commissioners.
  • Oversee high-level executive meetings and engagements to ensure appropriate attendees and facilities.
  • Coordinate high-quality correspondence, reports, presentations, agendas, and briefs for meetings and external engagements.

Leadership and Office Operations

  • Lead, coach, and develop the Executive and Organisational support team to foster a high-performance culture.
  • Manage performance reviews and development plans for direct reports to build team capability.
  • Oversee and optimise processes, procedures, and systems for the CEO's office to ensure efficiency and effectiveness.

Essential Requirements:

  • Substantial experience gained in a similar role working directly for a CEO or Senior Executive.
  • Strong planning, time management and organisational skills and a demonstrated ability to consistently deliver work to a high professional standard.
  • Exemplary administrative skills, including advanced Microsoft Office.
  • Strong interpersonal skills, including an ability to engage with senior stakeholders regarding confidential or sensitive matters.
  • Demonstrated ability to collaborate across functions to achieve shared goals.
