Employment Type: Permanent Part-Time
Work Schedule:20 hours per week (Monday, Tuesday, Wednesday, Friday)
9:00am to 2:00pm.
About the Role
St Rita's Catholic Parish is seeking a highly organised and approachable Parish Secretary to support the day-to-day operations of the parish office. This position plays a key role in welcoming parishioners and visitors, coordinating administrative processes, and ensuring the smooth functioning of office activities in collaboration with the Parish Priest and parish team.
The Parish Secretary is often the first point of contact for parishioners and community members, requiring professionalism, discretion, and a compassionate presence.
Key Responsibilities
- Provide front-desk support including phone, email, and visitor enquiries.
- Maintain parish records, databases (PACS, Flocknote), and sacramental registers.
- Prepare newsletters, certificates, rosters, and liturgy materials.
- Assist with baptisms, weddings, funerals, and sacramental program administration.
- Oversee bookings, supplies, and general correspondence.
- Support basic financial admin such as managing planned giving records.
- Liaise with contractors, volunteers, clergy, and Archdiocesan departments.
- Upload content to parish website or social media platforms.
- Coordinate WHS and safeguarding processes and documentation.
- Manage day-to-day office functions with minimal supervision.
About You
We're looking for someone who is proactive, warm, and confident in managing multiple responsibilities with care and attention to detail. The ideal candidate will demonstrate:
- Previous experience in administrative, clerical, or office support roles
- Strong computer skills including Microsoft Office and willingness to learn parish systems (e.g. PACS, Flocknote)
- Excellent written and interpersonal communication skills
- Experience handling confidential information with discretion.
- Familiarity with Catholic parish life and an understanding of Church values
- Ability to work both independently and collaboratively in a small team.
- A current Blue Card and National Police Check (or willingness to obtain)
