About the Role
As the Group Administrator - Engineering and Projects, you'll play a central role in enabling the smooth and efficient operation of the E&P stream. Reporting directly to the Executive General Manager, you'll manage day-to-day administration, executive coordination, HR and financial processes, and project support functions. You'll collaborate closely with other administrators, finance, and commercial teams to ensure consistent, high-quality outcomes across all business activities.
What You'll Be Doing
- Managing complex calendars, meetings, and correspondence for the EGM and leadership team.
- Coordinating management meetings, preparing agendas, minutes, and action registers.
- Assisting with the preparation of monthly board and performance reports.
- Coordinating travel, accommodation, and coordination for the E&P team.
- Supporting HR processes including onboarding, offboarding and training.
- Managing recruitment initiatives, training registers, and performance review coordination.
- Organising internal and external events, cultural activities, and team milestones.
- Administering supplier agreements, invoices, purchase orders, and expense claims.
- Supporting project and commercial documentation including contracts and compliance records.
- Managing internal systems (SharePoint, Pronto, PowerBI, Sitepass, Procore, CAAPS).
- Leading initiatives to enhance operational efficiency, process improvement and team culture.
What You'll Bring
- Qualification in Business Administration, Construction, or a related discipline (desirable).
- Minimum 5 years' experience in administrative or executive support within construction or similar industries.
- Strong knowledge of HR, financial and project coordination processes.
- Proficiency in Microsoft Office and ERP/project systems (Pronto, SAP, Oracle, Procore).
- Excellent written and verbal communication, with high attention to detail.
- Proven ability to manage competing priorities and deliver to deadlines.
- Professionalism, confidentiality, and the ability to work autonomously within a fast-paced team.
- Current driver's licence and flexibility to travel when required.
