The Role

The APS 4 Registry and Filing Officer role offers a unique opportunity to work within a dynamic and integrated team supporting Headquarters Joint Capabilities Group (HQJCG), including the Office of Chief Joint Capabilities (OCJC) and the Office of Deputy Chief Joint Capabilities (ODCJC).

As the Registry and Filing Officer, you will be responsible for managing official correspondence and document workflows, ensuring timely and accurate receipt, allocation, tracking, actioning and dispatch. You will oversee HQJCG mailboxes and contribute to the smooth operation of records and information management processes.

Working under limited direction, you will apply your knowledge of relevant legislative frameworks to interpret and comply with information management requirements. You will make decisions within your area of responsibility and seek guidance on more complex matters when needed.

About our Team

Headquarters Joint Capabilities Group (HQJCG) provides strategic support to the Group Head, Chief Joint Capabilities (CJC), and the Deputy Chief Joint Capabilities (DCJC). The team plays a key role in directing and coordinating Group operations across a broad range of functions. HQJCG works closely with JCG's Functional Commands and collaborates with other Groups and Services across Defence to deliver outcomes that support both JCG and Defence-wide objectives.

The Registry and Coordination team operates within HQJCG and reports to the APS 6 Coordination Manager. This team is responsible for delivering high-quality administrative coordination and support to the Offices of CJC and DCJC, working closely with other HQJCG teams and the broader JCG network.

The HQJCG team includes a diverse range of functions, such as:

  • Offices of CJC and DCJC.
  • Ministerial and Parliamentary Directorate.
  • Governance Directorate.
  • Workforce and Culture Directorate.
  • Media and Communications.
  • Web Management.
  • Legal Support Important.

Note: This role is primarily based at our Russell office. We are committed to supporting flexible working arrangements and are happy to discuss options that balance operational requirements with individual needs.

To be successful in this role, you will ideally have:

  • Previous experience in an Information and Records Management role.
  • Experience using records management systems such as Objective (Objective Work Group Coordinator experience preferred) and PDMS.
  • A current Baseline security clearance and eligibility to obtain an NV1 security clearance.
