Key Responsibilities and Deliverables

1. RMA and Warranty Management

  • Own the End-to-End RMA Process: Implement, manage, and execute the entire Return Merchandise Authorisation (RMA) workflow for faulty IT equipment (e.g., POS terminals, networking gear, screens).
  • Warranty Tracking & Recovery: Ensure all returned items are accurately logged against their original purchase order, serial number, and warranty status to maximise financial recovery from vendors and manufacturers.
  • Documentation & Reporting: Maintain detailed records of all RMA requests, shipment tracking, vendor communications, and status updates, providing regular reports on asset loss and recovery rates.
  • Quarantine Management: Manage a dedicated area for faulty and awaiting-RMA equipment, ensuring compliance and separation from usable stock.

2. Inventory Management & Accountability

  • Implement and manage a robust Warehouse Management System (WMS) and integrate it with our internal systems (procurement, asset tracking).
  • Maintain 99.9% inventory accuracy for high-value IT assets and physical store build components.
  • Establish strict quality control (QC) procedures for incoming and outgoing IT hardware, ensuring all devices are correctly tagged, serialised, and ready for deployment upon arrival.

3. Logistics & Project Fulfilment

  • Manage the staging and configuration process for all new store builds, ensuring IT equipment is pre-configured and packaged per project specifications.
  • Coordinate complex, multi-component deliveries to active construction sites, adhering to Just-In-Time (JIT) principles and strict construction schedules.
  • Liaise daily with Project Managers, vendors, and freight carriers to manage scheduling, mitigate delays, and resolve last-mile delivery issues.

4. Operations and Leadership

  • Optimise the physical warehouse layout and storage protocols to maximise space utilisation and expedite picking/packing processes.
  • Ensure all warehouse operations comply with Australian WHS (Workplace Health and Safety) and logistical regulations.

Skills and Experience Required

  • Minimum of 3+ years in a Warehouse, Inventory, or Logistics Management role, preferably within a company that handles both technical equipment and time-sensitive B2B distribution.
  • Demonstrable experience managing RMA and warranty claim processes is essential, with a focus on process efficiency and financial recovery.
  • Proven expertise in implementing and managing a WMS or equivalent inventory software.
  • Strong understanding of IT hardware and the ability to manage serialised assets (familiarity with asset management databases is a strong plus).
  • Exceptional organisational skills, project management abilities, and keen attention to detail.
  • Forklift license and proven capability to manage physical storage and material handling.
