MONSU Caulfield is the Undergraduate Student Union at Monash University, Caulfield Campus. We support over 10,000 students by providing free services, programs, events, activities and representation, to ensure students have the best possible university experience.
ABOUT THE ROLE
MONSU Caulfield is seeking an Operations + Support Programs Coordinator who will lead the creation and delivery of essential student support programs working in collaboration with student representatives and staff across MONSU Caulfield. Additionally, this role will work to define, map and document operational processes to ensure alignment with organisational goals.
MONSU Caulfield is dedicated to providing excellent support services to students. This role ensures the delivery of a student-centred and service-oriented approach to support, services and processes, supporting students to have a successful university experience.
- $77,000 - $85,00 salary
- Full-time position (5 days per week)
- 2-year fixed-term contract
- Flexible work arrangements available at some times during the year.
- This position will have an expected start date in January 2026.
KEY RESPONSIBILITIES
Administrative Operations
- Develop and document day-to-day administrative functions of the Student Advocacy service, ensuring smooth operations within the service and across customer service touchpoints.
- Support the maintenance of accurate case management data, enquiry management and relevant administrative materials.
- Liaise with departments across MONSU Caulfield to ensure smooth collaboration and information flow.
- Collaborate with Corporate Services to implement new tools, software, or automation processes.
- Provide training and support to staff on using systems and ensuring best practices in data entry, management and security.
Development & implementation of essential student support programs
- Use data to design and improve programs that reflect students' evolving needs.
- Identify and develop critical student support programs aimed at addressing student fundamental needs and concerns, food insecurity and cost-of-living support.
- Implement critical student support programs across the student lifecycle informed by student insights and work in collaboration with MONSU Caulfield Student Representatives and staff.
Support Program Operations + Program Delivery
- Collaborate with MONSU Caulfield staff and Student Representative teams to deliver tailored support programs that empower students to have an outstanding university experience and ultimately stay engaged with their studies.
- Develop and lead MONSU Caulfield initiatives that promote the overall support, mental health, wellbeing and success of undergraduate students at Monash University Caulfield Campus.
- Partner with all MONSU Caulfield departments and relevant Student Representatives to ensure proactive and effective responses to student needs and concerns, grounded in a shared understanding of holistic student-centred service delivery.
Process Improvement + Project Management
- Identify bottlenecks and inefficiencies in administrative and operational processes for MONSU Caulfield, and propose solutions to streamline workflows.
- Implement data-driven approaches to analyse service metrics and improve operational outcomes.
- Lead and support key operational projects, such as the launch of new support programs and process optimisation initiatives.
- Develop and track project timelines, ensuring timely and efficient completion of initiatives.
Stakeholder Engagement
- Build strong relationships across MONSU Caulfield and university departments to provide specialist advice and support.
- Foster a collaborative, productive and high-performing team culture.
Budget Management
- Ensure cost-effective use of resources and identify areas for potential savings.
- Ensure funding for support programs is utilised in the most cost-effective way possible, maximising support provided to students.
Work Health & Safety
- Facilitate and ensure a safe working environment.
- Ensure compliance with all Monash University and MONSU Caulfield WHS Policies, Procedures and instructions.
- Take immediate action to rectify any unsafe situations or acts.
- Report all incidents and hazards to the General Manager and Monash University.
KEY SELECTION CRITERIA: ESSENTIAL
- A degree qualification from a recognised tertiary institution, and at least two years of industry experience in student support, event planning and management, or a similarly complex environment; and/or demonstrated work experience.
- Proven experience in event coordination or project management.
- Strong organisational and time management skills, with the ability to coordinate and prioritise workloads.
- Advanced administrative skills, including problem-solving and analytical abilities, with a keen eye for accuracy and an aptitude for identifying opportunities for process improvements.
- Proactive student-centred mindset with a focus on continuous improvement of systems and processes.
- Demonstrated ability to handle confidential and complex student matters with sensitivity and professionalism.
- Proactive, solutions-focused mindset with the ability to work independently and collaboratively.
- Excellent verbal and written communication skills, with the ability to liaise professionally across teams, organisational levels and student leaders.
- A passion for working with a diverse range of people from different backgrounds and cultures.
- Demonstrated understanding of Workplace Health & Safety practices.
KEY SELECTION CRITERIA: DESIRABLE
- Knowledge of student organisations or not-for-profit community groups.
- Knowledge of the higher education sector.
- Experience in process mapping and/or continuous process improvement would be advantageous.
