The Role
The Campus Timetabler & Daily Organiser role has a critical day-to-day focus on ensuring the smooth operation of each campus through the effective delivery of Daily Organiser responsibilities, including the allocation of classrooms, learning spaces, teachers, and Casual Relief Teachers in response to planned and unplanned absences.
In addition, the role provides essential support to the Lead Timetabler by maintaining and updating timetables, processing student subject and staff duty changes, coordinating room and program scheduling, and managing timetable data. By maintaining accuracy, consistency, and responsiveness in these functions, the role underpins the daily continuity of teaching and learning, while also contributing to broader school priorities through reliable support of timetabling operations.
This will be a full time, permanent role commencing January 2026, based at Caulfield Campus.
Key Duties
- Coordinate daily campus operations, including staff absences, leave documentation, room changes, and on-call allocations to ensure smooth program delivery.
- Oversee CRT engagement, deployment, compliance, and payroll, and assist with short-term replacements as needed.
- Monitor and approve staffing for excursions, incursions, professional learning, and other campus activities to maintain program continuity.
- Maintain the Campus Calendar, align it with the School Diary, and support staffing for major campus events and tours.
- Assist the Lead Timetabler with timetable maintenance, student subject changes, duty allocations, and Transition Program implementation.
- Provide accurate data and reports to leadership teams, attend operations meetings, and support strategic planning through role deliverables.
- Model and live the Caulfield Grammar School values and behaviours.
Skills and Experience
- Hold or willing to obtain an Employment Working With Children Check.
- Technical knowledge of databases and Resource Management software
- Experience in a similar role in a school environment highly advantageous Timetabler software (EDVAL)
- Strong numerical reasoning skills and confidence in working with data, statistics, and quantitative information.
- Demonstrated experience in managing and interpreting data to inform planning, decision-making, and continuous improvement.
- Upholds high professional standards with strong initiative, attention to detail, and a commitment to continuous improvement and best practice.
