Primary Purpose of the Position

As the Coordinator of the Singleton Neighbourhood Centre (SNC) and OpenDoor (OD) the position holder will work under the direction of the General Manager and coordinate services within both the SNC and the OD and support and encourage Volunteers along with assisting, the Community from Singleton LGA

Core Position Expectations

·    Ensure that all SNC and OD policies and procedures are implemented and complied with

·    Provide guidance, mentoring & development of all SNC and OD volunteers

·    Implement and regularly communicate plans and activities to coordinate the day-to-day operations of SNC and OD

·     Identify, mitigate and communicate risks associated with business operations including cybersecurity risks, workplace health and safety, and environmental impacts, and respond to and coordinate the management of emergency situations

·     Deliver on all reporting requirements within a timely manner

·     Embody a positive SNC and OD workplace culture based on the Values of SNC, where volunteers feel valued and empowered

·     Develop and foster positive and meaningful relationships with all stakeholders.

·     Assist the General Manager in maintaining budgets

·     Assist the General Manager in developing and implementing programs and activities to assist and benefit the clients of the SNC and OD

·     Provide advocacy, support and referral to the clients that access both SNC and OD

Specific Functional Responsibilities

People

·   Maintain employee and volunteer work practices and accountability to deliver positive results through best practice, while recognising and celebrating best practice, and maintain volunteer numbers to ensure adequate service levels

·   Mentor volunteers in an engaging and collaborative manner, through alignment and engagement with SNC values

·    Mentor and elevate the capability and capacity of volunteers and share relevant information effectively and appropriately in an open and timely manner

·    Promote positive working relationships with internal and external stakeholders.

·    Contribute and collaborate positively, encouraging clear and open communication to achieve effective and efficient outcomes

·   Approach linguistic and cultural diversity with professionalism, empathy and inclusivity

·     Be non-judgmental and show collaboration, empathy and commitment to all people using SNC and OD

·    Uphold the privacy and confidentiality of all employees, volunteers and the community that use both SNC and OD

Community Development:

·  Participate in Community meetings, Forums and Consultation as directed by the General Manager

·   Attend Open days or planning days held at the Centre

·   Represent the Centre in a professional and positive way when you are outside the Centre

General Requirements:

·   Attend relevant training as identified by the General Manager

·   Maintain equipment and supplies and inform the General Manager when supplies are getting low and needed

·     Carry out other duties, within reason, as negotiated with the General Manager

Workplace Health & Safety (WHS)

·   Uphold requirements of all applicable WHS legislation & regulations

·    Respond to and coordinate practice drills and emergency workplace situations/issues

Key Performance Indicators - KPI's

·    Maintain accurate, up to date client records and ensure they are securely stored, both paper copy and electronic copies

·    Ensure the accurate data collection on the daily stat forms within SNC and OD

·     Maintain expenditure within budget constraints as advised by the General Manager

·     Maintain volunteer numbers to ensure adequate level of service delivery

·    Ensure the Volunteer Roster is developed, approved by the General Manager and printed for display monthly

·    Develop and print a monthly Newsletter once approved by the General Manager

·    Develop and maintain adequate programs and activities for OD each month

·    Maintain up to date and accurate monthly reporting in DEX

·    Ensure daily cleaning schedules are completed by the Volunteers

·     Establish a meal plan as much as possible based on the food provided by local food rescue organisations, with meals needing to be nutritious as it might the only meal the clients eat in a day

·    Provide regular updates, newsletters and an activities calendar on social media platforms

·    Stats and monthly reporting to the General Manager by the end of each month for presentation to the Board

·    WDO reports to NSW Revenue by the end of each month

·    Complete/update risk assessments for all operations within the SNC and OD

·     Provide a community dinner monthly and social activities as per funding agreements

·     Food Management – safe food compliance

·     Manage Food pantry stocks to a minimum of 1 month stock

·     Check and update all MSDS for SNC and OD

·     Collect food rescue items from Coles, Woolworths and ALDI daily and maintain up to date reporting to SecondBite and ALDI foodbank daily

Qualifications & Experience

Essential

·    Cert IV in Social Services or equivalent or demonstrated experience working in the same area

·    Demonstrated experience in meaningful stakeholder engagement

·    Demonstrated experience in leading, developing and mentoring a team of Volunteers

·     Senior First Aid Certificate

·     Working with Children's Check (must be a paid check not a volunteer check)

·     Food Safety Supervisor certificate or willingness to obtain

·     To be non-judgmental and to show empathy to all people using the Centre

·      To be a team player with good communication and time management skills

·     To be able to take direction from your General Manager

·     To understand and respect the linguistic and cultural diversity of the people we support within our Centre and supporting agencies

·     Previous experience with event management

Desirable

·     Communication Skills: able to communicate effectively, clearly (oral & written) with active listening, and able to respond with understanding and respect while respecting the values and diversity of others

·     Analytical Skills: able to isolate and reason through problems, identifying variables and risks, then translating creative solutions into workplace environments

·     Personal Attributes: high personal levels of motivation and enthusiasm, integrity and professionalism, respect and inclusivity, ethics and cultural sensitivity, and able to establish and develop positive and meaningful relationships

·    Technology Skills: able to understand and use Microsoft software, preferably with Xero exposure, to maximise efficiency and effectiveness

·     Able to interpret and understand legislation and regulations, and able to operate within policy and procedural guidelines

·     Able to work within competing priorities, often in pressure situations for sustained periods, and to act decisively while mitigating risks and avoiding undesirable negative outcomes
