Sydney, New South Wales, Australia Public Education Foundation Full time $60,000 - $90,000 per year

Administrative Assistant – 3 Month Part-time (Fixed Term)

  • Location: Sydney CBD (work from home)
  • Job Type: Permanent Part-time (3 months fixed-term)
  • Sector: Not-for-Profit / Education

About Us

The Public Education Foundation is a not-for-profit organisation dedicated to providing life-changing scholarships to students in public education and enhancing the value and visibility of public schooling in Australia. Our mission is to help break down the barriers to achievement by supporting students, teachers, and schools through a range of targeted support programs.

About the Role

The Engagement & Events Coordinator is a creative, proactive, and relationship-driven role that helps shape how the Public Education Foundation connects with our community. You will help bring our story to life through thoughtful donor communications, memorable events, and digital content that reflects our values.

This is a 12-month fixed term opportunity to play a pivotal part in how we build long-term support for public education, share student impact, and grow our donor community. The role combines stakeholder engagement, content coordination, event delivery, and digital communications — including social media, HubSpot CRM management, and support for our new brand and website rollout.

You'll also be encouraged to streamline and personalise our communications through the use of AI tools and digital systems. We are looking for someone who is not only skilled but also passionate about public education and equity — someone who thrives on building relationships and telling meaningful stories.

Key Responsibilities

Communications and Brand Development

  • Coordinate the Foundation's social media, e-newsletters and digital content across platforms
  • Support the rollout of the new organisational brand and lead the development and management of our new website
  • Develop compelling donor and stakeholder content, case studies, and campaign assets in line with brand tone and values
  • Work with consultants on brand and website implementation, and ensure consistency across channels

Donor Engagement and Stewardship

Manage day-to-day donor communications and touchpoints using HubSpot, including moves management and donor segmentation

  • Coordinate stewardship plans and ensure timely, tailored follow-up with individual donors, sponsors and partners with CEO
  • Support direct mail campaigns in collaboration with our external DM agency
  • Track and evaluate engagement using HubSpot reporting and contribute to donor journey mapping

Event Management

  • Support the implementation of Flagship events with Events Manager
  • Plan and deliver all other key donor and stakeholder events, from concept through to execution
  • Manage Key stakeholders, logistics, invitations, RSVPs, run sheets and post-event follow-ups
  • Liaise with speakers, venues, suppliers, and external partners to deliver high-quality experiences
  • Coordinate student and alumni participation in events where appropriate

Market Research and Reporting

  • Conduct basic research on donor behaviour, stakeholder needs and sector trends to inform engagement strategy
  • Provide regular reporting on engagement metrics, campaign performance and event outcomes
  • Contribute to internal reflection and planning processes through data insights

Systems Optimisation

  • Identify opportunities to streamline communications and automate tasks using AI and CRM tools
  • Ensure accurate HubSpot records and integration
  • Use segmentation and personalisation features in HubSpot to deliver more tailored and strategic outreach

Inbound Calls

  • Manage calls and email requests from the public and students via our Info@ and phone line.

About You

  • Proven administrative experience, ideally in the not-for-profit or education sector
  • Strong computer literacy, with the ability to quickly learn and navigate multiple CRM and CMS platforms
  • Excellent attention to detail and time management skills
  • Strong communication and interpersonal abilities
  • A positive and proactive attitude, with the ability to work both independently and collaboratively
  • As you may be working with children, you'll be required to provide a Working With Children Clearance Number.

What We Offer

  • A meaningful role supporting public education and student equity
  • Hybrid working arrangements
  • Supportive and values-driven team culture
  • CBD office location close to public transport

How to Apply

If you are a detail-oriented administrator with a passion for education and community impact, we'd love to hear from you. Please submit your resume and a brief cover letter outlining your relevant experience via SEEK.
