**About the role**
As a key member of the Shared Services team, you will be responsible for a wide range of administrative and front desk duties (excluding phone answering). This includes greeting clients, families, and visitors in a professional and friendly manner. You will play a vital role in presenting a welcoming and efficient office environment and supporting day-to-day administrative tasks.
This is a permanent part-time role, with working days on Mondays, Thursdays and Fridays from 8:30am to 5:00pm. Some flexibility may be required based on operational needs.
**Key Responsibilities**
- Greet all visitors in a courteous, professional, and friendly manner.
- Ensure the reception, boardroom, kitchen, and shared areas are tidy and professionally presented at all times.
- Monitor and manage the visitor sign-in/out process to maintain security protocols.
- Sort and distribute incoming mail, and coordinate all outgoing mail (including express and registered post).
- Respond to desk, parking, and meeting room booking requests
- Provide general administrative support including data entry, filing, photocopying, laminating, and document preparation.
- Coordinate meeting room bookings and support meeting room setup as needed.
- Monitor and replenish office and stationery supplies as required.
- Assist other team members with ad hoc administrative tasks as needed.
**Skills & Experience**
- Prior experience in an administrative or front desk support role.
- Strong interpersonal and written communication skills.
- Ability to handle all matters with empathy and maintain a high level of confidentiality and discretion.
- Proven ability to manage time effectively and prioritise workload.
- A proactive approach to problem-solving and a willingness to take initiative.
- Competency in Microsoft Office programs (Word, Outlook, Excel, etc.).
- Ability to work independently as well as part of a collaborative team.
