Firbank Grammar School is seeking a communicative and experienced Administrator to work across our 2 Early Learning Centres in Brighton and Sandringham, who will support our ELC teams to ensure that documentation and regulatory compliance paperwork are up to date and staffing needs are met. This role is responsible for delivering exemplary customer service while maintaining a high standard of administrative efficiency in our ELC communities.
**Hours**:
9am-2pm, Monday through Friday. This role operates 48 weeks per year, and must be available during school holidays (with the exclusion of a School shutdown over Christmas & New Years). This role is entitled to 20 days annual leave per year (pro rata).
A key component of this role is managing staff absences and CRT staff rostering, so the successful applicant in this position is required to be contactable by staff for a period each morning to receive absence notifications and arrange CRTs (before our centres open)**,** and after our centres close in the evening. These contactable hours (via a school-provided mobile) are 6am-6:30am and 7:30pm - 8pm. These additional reasonable hours each morning and evening, have been factored into the total remuneration package of this role.

**Responsibilities**:
- Collaborate with the Educational Leaders at each campus to ensure smooth operation of the Early Learning Centres.
- Manage staff absences (including coordinating leave forms), including management of CRT schedules and replacements, as required.
- Liaising with Head of Campus and Finance Department to ensure timesheets are submitted accurately and on time.
- Ensure policies and procedures adhere to National Quality Standards (NQS) and Legislative standards and are approved by the Head of Campus.
- Manage Child Care Subsidy and Child Management systems administration (QikKids) in liaison with Finance, Head of Campus and Person in Charge - Long Day Program.
- Provide lunch cover release for the Turner House Reception each day.
- Complete and manage the ongoing Funding requirements on the Kindergarten Information Management (KIM) System and maintain ongoing updates.
- System administration for Transition to Schools statements.
- Organise and manage casual bookings for Long Day Program, including School Holidays (in conjunction with the Person In Charge - Long Day Program).
- Record keeping and dissemination of enrolment, immunisation, medication records and staff certification records.
- Retain confidentiality about School matters, including personal information about staff and students.
- Ensure adherance to food safety protocols, including regular inspections, staff training, and compliance with industry standards.
- The ELC Administrator is responsible for the ELC-specific onboarding of new ELC staff (including CRTs), including: tours, sharing rosters, ELC policies, introduction to relevant team members, emergency management plans, and supporting them with navigating their role and environment. This is in addition to the HR onboarding process.
**Qualifications and Experience**:
- Working With Children Check.
- Deep understanding of the Education and Care Services National Regulations.
- Knowledge of Long Day Care sector.
- Administrative experience, preferably in an Early Learning Centre or in a similar role is highly regarded.
- High technological proficiency, specifically with the Microsoft 365 suite.
**Remuneration**:
Full-time equivalent salary: $75,000 p.a.
Base salary at a 0.79 FTE: $59,250.
Total package: $66,950.
