As an Administration Assistant you would:
- Provide guidance to the underwriters to ensure all compliance and finance controls are adhered to in invoicing and transactions related to the clients
- Perform routine administrative tasks and support the general operations of the organisation by assisting underwriting staff and management, as well as being integral in the running of general office.
- Ensure all drafting and issuing requests are met in a timely manner. This includes amendments to draft documents if required.
- Updating systems with information where required and underwriters updated accordingly.
- Ensure follow up tasks and procedures are effectively maintained.
- Ensure all systems, policy files and records are properly maintained and meet audit standard requirements.
- Ensure all outstanding accounts and debtors are in line with the Broker’s credit terms and arrange extensions with relevant Security, if required, prior to approving or providing any extensions.
- Processing of all invoices (types will vary between departments) and on forwarded to Brokers/Clients or if required liaising with Brokers if error/change required.
- Set up and maintenance of all Brokers details within all systems
- Answer incoming telephone calls, determine purpose of the call and direct to correct staff or department.
- Responsible for all office reception duties including answering of the office door, general adhoc office requirements, stationary orders
- kitchen facilities are kept tidy and stocked where required
- Liaising with underwriters regarding couriers and organising where required
- Collection of mail daily from client's GPO Box and posting all mail from the office at the end of the day
- Sorting and Opening of all daily mail which includes date stamping and scanning to the system
**What you'll need to succeed**
- Knowledge of the legal / legislative environment in which the insurance industry operates.
- Previous underwriting experience.
- Knowledge of commercial insurance products.
- Knowledge of Risk Management issues faced by organisations.
- Knowledge of basic accounting and claims procedures.
