**Bookkeeper - Insight Australia Travel (IAT)**

**ROLE DESCRIPTION**

Reporting to: Director overseeing Finance. Managing Director.Status: Part time 2 - 3 days per week. Position Overview

The Bookkeeper is responsible for recording and maintaining all the business’ financial transactions, such as purchases, expenses, revenue invoices, accounts receivable and accounts payable. The Bookkeeper will record financial data (based on accrual accounting principles) into general ledgers which are then used to produce accurate and timely period end reports including the balance sheet and income statement.

General responsibilities include:

- Keeping accurate records of company finances
- Monitoring financial health and compliance
- Strengthening organisational culture by collaborating with the team generally on relevant policy and internal accounting practices
- Take note of and report discrepancies in financial records
- Ensure customer satisfaction when required to help with purchases and refunds
- Identify and quickly correct errors

The role does not include payroll processing or the compiling of BAS statements and tax returns.

**Tasks**:

- Managing the day-to-day accounting transactions in Xero based on accrual accounting
- Ensuring the exchange of accounting information between Xero and Tourplan is timely and accurate
- Work with the Systems Operation Manager ensuring Tourplan is appropriately supported in terms of accounting
- Understand the key functions of Tourplan and ensure appropriate policies and checks and balances are in place across the team in terms of accounting practices.
- Working with the account’s assistant ensuring all purchase orders are created in a timely manner
- Working with the account’s assistant ensuring revenue invoices are raised for all sales in a timely and accurate manner
- Paying particular attention to airline deposits and payments ensuring these are allocated accurately and that any refunds and credits are recorded and actioned appropriately
- Ensuring the tour code system is adhered to / managed so margins by tour can be easily accessed and analysed
- Assisting with revenue and cash flow forecasting
- Closely monitoring accounts payable and accounts receivable and reporting on both monthly
- Allocating payments to invoices in a timely manner
- Preparing and finalising the monthly accounts including posting of journals
- Managing of deferred revenue and expense accounts and ensuring these are checked and reconciled monthly
- Liaising with the external Accountant for annual accounts and tax queries
- Reconciling bank accounts monthly
- Reconciling all Balance Sheet accounts monthly
- Managing the accounts’ payable function including the processing of invoices due for payment
- Managing the accounts’ receivable function including the allocation of payments
- Monitoring and managing overdue receivable payments
- Work as part of the greater team (and management team) assisting in problem solving and policy decisions
- Basic HR administrative tasks
- Any other tasks reasonably requested by the Director overseeing Finance and Managing Director

**Job Type**: Part-time

Pay: $40.00 - $45.00 per hour

Expected hours: 16 - 24 per week
