J Mack Group Pty Ltd trading as Highland Medical Centre is looking to employ a highly skilled and qualified Office Manager to join our team at our Madeley Centre.
About Highland Medical
Highland Medical Centre is a generalist medical centre providing essential care to residents in Western Australia. We aim to ensure all patient health concerns are addressed in a prompt manner.
Qualifications and Experience
Relevant Diploma or higher qualification;
Work experience working in a medical centre;
Work experience as an Office Manager in a medical centre
Skills and Responsibilities
- Provide administrative support to the practice staff to ensure efficient workflow of all data & correspondence.
- Possess a strong problem-solving ability, working with mínimal supervision.
- Ability to follow instructions, policies and procedures and work to deadlines and contribute to the development of business Policies and Procedures in line with the RACGP Practice Accreditation 5th standards.
- Develop an understanding of the business database and IT systems, ensuring they are fit for purpose.
- Ensure all data is maintained to a high standard including archiving of clinical information.
- Identify and rectify all errors, omissions and inconsistencies and make adjustments as required, reporting all consistent errors to the line manager.
- Maintain, review and develop the staff rosters in a timely manner in line with practice policy.
- Manage staffing levels, taking into account the Leave Policy, liaising with the Corporate Service Manager regarding potential issues arising.
- Develop a working knowledge of the practice patient booking system and chronic disease management recall & reminder system and have an in-depth knowledge of appointment types to meet patient needs.
- Develop Agendas, Minutes and liaise with all attendees in a timely manner, ensuring all information is circulated to all attendees.
- Ensuring each consulting room as well as the admin office is equipped with general office supplies and all office equipment is maintained.
- Ensure a suitable working environment is maintained and compliant with occupational health and safety regulations as well as holding the position of Deputy Fire Warden.
- Allocate resources in the office based on requirements, skills and timetables.
- Diligently distribute tasks amongst reception staff based on urgency and efficiency.
- Manage the Highland Medical social media channels.
- Organise and publicise promotional events and fundraiser events within the practice such as Heart Health Week and Purple Bra Day.

**Salary**: $55,000.00 - $75,000.00 per year
