**Position Summary**
We’re looking for a proactive and highly organised Scheduling / Operations Coordinator to join our operations team. This role is key in ensuring our deliveries, pickups, and installations run smoothly and efficiently. You will be responsible for crew scheduling, job planning, and real-time coordination of logistics across multiple event sites.
This is a fast-paced, hands-on role that requires excellent communication and problem-solving skills — perfect for someone with experience in events, logistics, or operations.
**Key Responsibilities**
**Scheduling & Crew Coordination**
- Prepare and manage weekly staff rosters based on event bookings and delivery timelines
- Allocate crew members and drivers to jobs based on skills and availability
- Adjust rosters dynamically in response to last-minute changes or urgent bookings
**Job Planning & Logistics**
- Plan delivery and pickup schedules for maximum route efficiency
- Prepare and distribute daily run sheets and job details to crew
- Coordinate equipment readiness with the warehouse team
- Track vehicle movements and assist with dispatch and returns
**Operational Support**
- Maintain up-to-date job details in our scheduling or booking system
- Communicate clearly with crew, clients, and internal departments to ensure expectations are aligned
- Support the Operations Manager with planning for high-volume event periods
**Administration & Communication**
- Maintain detailed records of completed jobs, issues, and crew feedback
- Monitor and report on daily operational progress
- Respond promptly to calls or texts from drivers or installers during job execution
- Assist with onboarding and coordination of casual staff during peak periods
**Key Skills & Experience**
- Minimum 2 years experience in a logistics, operations, or event coordination role (event hire industry preferred)
- Exceptional time management and organisation skills
- Strong interpersonal and communication skills (both verbal and written)
- Ability to multitask and remain calm under pressure
- Comfortable working in a fast-paced, reactive environment
- Familiarity with basic transport scheduling tools or event booking systems
- Proficiency in Microsoft Excel, Word, and cloud-based apps (Google Workspace, Dropbox, etc.)
- Availability to work flexible hours, including some weekends during peak season
**Desirable**
- Experience in the event hire industry or understanding of event workflows
- Knowledge of Sydney metro and regional delivery routes
- Forklift license or experience in warehouse environments
