**About the Role**
The role of the Personal Assistant is to provide support and assistance to the Head of Third Party Distribution and the Third Party Distribution team. This position requires confidentiality, discretion and professionalism in all aspects of the role.
This is a varied role and will assist the Head of Third Party in maintaining their work in progress duties including:
- Supports and assists in monitoring all budgets and associated targets whilst in line with delivering organisational strategic goals and objectives
- Manages and screens telephone calls in their absence or when unavailable
- Provides confidential support to the Head of Third Party Distribution including organising and attending meetings
- Ensures Head of Third Party is prepared for all meetings by providing relevant information prior to the meeting (for both internal and external meetings)
- Coordinates team meetings, planning days and functions attendance to external events
- Maintains (order and manage stock levels) stationary and marketing merchandise for Aggregator events inclusive of State based PD days and National Conferences
- Co-ordinates logistics for placement of merchandise in each State for use by respective Broker Development Managers
- Regularly updates procedural manuals and other documents as required
- Manages Conference attendance for Third Party team
- Organises merchandise, liaising with Conference coordinators on what is required, register attendees, organises flights/ accommodation/ car hire etc., arranges couriers to and from events, liaises with Marketing on product requirements, completes travel allowances
- Prepares all accounts/invoices in readiness for approval via FAS
- Designs and maintains spreadsheets for budget to ensure correct GL allocation
- Prepares Corporate Visa reconciliations ensuring all tax invoices are attached and all required sections are completed for review and approval
- Prepares and formats PowerPoint Presentations Prepares reports for Head of Third Party
- Action and monitor allocated data reports for accuracy of info and pipeline management such
- Organises and arrange all equipment and files for new staff members
- Suggests improvements to reporting systems and automates processes for ease of use for team members
- Other duties including (temporary) special projects may be assigned
**About You**:
Other criteria includes:
- Prior relevant experience in administration, PA or secretarial work
- Relevant qualifications will be highly regarded
- Intermediate knowledge of Word, Excel, Outlook and PowerPoint
- Excellent time management and organisational skills
