We have a fantastic opportunity for an Administration Assistant to join our friendly, hard-working and enthusiastic team located in Wallsend. You’ll be the glue that keeps our business running smoothly, working with referrers and our clinicians to ensure our high standards of care and support are upheld.

The role will be offered on a permanent part-time basis for a minimum of 28 hours per week, across a minimum of 4 days paid at $26 per hour.

Duties and responsibilities will include:

- Greet clients, answer incoming calls, and process EFT payments
- Quarantine NDIS funding by liaising with Plan-Managers and making Service Bookings
- Prepare, exchange, and follow up on Service Agreements
- Assist the Senior Administration Assistant with the processing of incoming referrals
- Monitor check in/check out procedure and escalate concerns to the Practice Manager
- Distribute invoices and send overdue reminders
- Send paediatric appointment reminders and manage cancellations
- Build rapport and continuity with clientele and external stakeholders
- Take stock of office supplies, arrange catering orders, maintain amenities
- Scanning, faxing, printing, and shredding of confidential documents
- Update electronic client files and maintain records
- Clean Paediatric resources and ensure storage spaces are neat and organised
- Contribute to a positive culture and maintain a safe workspace
- Other tasks requested by the Senior Administration Officer and Practice Manager

Skills and Experience:

- 5 years’ experience in a mid-level Administration role
- Expert ability to build and manage robust stakeholder relationships
- Demonstrated high level oral and written communication skills
- Professional presentation, telephone manner and expert interpersonal skills
- Ability to prioritise workload and manage multiple tasks in a fast-paced environment
- Tech savvy and demonstrated proficiency in Microsoft Office Suite
- A proven ability to work both autonomously and in a team environment

Experience with the NDIS, in the allied health space and with iinsight Case Management platform will be favourably looked upon.
