**Your new role**:
**Executive Assistant** to the**_ _**Executive Director of People, Culture, and Safety is a vital role providing administrative support and assistance to the Directorate. Your exceptional organisational skills and attention to detail will ensure the smooth execution of daily operations.
**Your responsibilities**:
- Create and oversee the directorate annual calendar of key events and activities.
- Co-ordinate the timely preparation and submission of Board and ELT directorate papers in line with governance requirements.
- Support the ED in overseeing directorate wide planning and prioritisation.
- Organise directorate staff meetings and events.
- Co-ordinate the Board People and Culture Committee meetings including creating agendas, submitting papers, and writing minutes in line with governance requirements.
- Co-ordinate and follow-up on the completion of corporate reporting and compliance activities across the directorate including reporting against OKRs, risk management, compliance learning, leave planning and budgeting.
- Assist with the management of the directorate’s document management system ensuring that all relevant meeting documents, correspondence and other documents are appropriately filed.
- Manage the expenses of the ED.
- Contribute to the implementation of effective risk management procedures to ensure compliance with legal, employment and governance requirements.
**To be successful, you will need**:
- Demonstrated effective time management; high level of initiative, enthusiasm, drive and energy.
- Sound interpersonal and communication skills including the ability to establish and maintain professional relationships with management and staff at all levels.
- Experience in minute taking at senior level.
- Advanced skills in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience in the coordination of document management systems (SharePoint).
- High level experience in diary management including planning, organising and prioritising work.
