We are seeking someone with exceptional organisational skills to join our small friendly team based at Peakhurst. We are looking for someone who has a keen eye for detail, will take responsibility for ensuring that particulars are not missed when preparing jobs, is highly organised, seeks to exceed customer expectations and can plan ahead.
The successful applicant will be motivated to achieve maximum efficiency for our service technicians by strategically scheduling to minimise travel time between destinations from job to job. You must be able to problem solve, for example, make adjustments to planned schedules when changes occur, without leaving gaps in the technicians day. Note: This is an office based full-time role.
**Key responsibilities**:
- Daily management of our technicians, including scheduling and allocation of jobs in SimPro.
- Provide an integral link in the delivery of emergency call-outs, maintenance services & general tasks.
- Ability to prioritise, schedule and organise our technicians to attend emergency call-outs at the earliest availability.
- Ability to monitor timeframes, organise a well-planned run by grouping areas together for better efficiency and cost savings.
- Monitoring stock availability in advance for parts, materials and equipment that will be needed for tradesmen to complete upcoming jobs.
- Liaise with management when special order parts are required for upcoming jobs.
- Ability to record and brief our technicians / sub-contractors re any special requirements or anomalies pertaining to a particular job.
- Review daily job runs to ensure all works have been completed and are ready for invoicing.
- Re-schedule incomplete jobs, notating any special requirements and/or hand across to management for re-quoting if job requires additional parts.
- Maintain job notes in SimPro and ensure our systems are up to date with clear status of each job.
- Communicate with clients and staff in a friendly and polite manner.
- Prepare paperwork and place into technicians pigeonholes prior to upcoming jobs.
- Signing out and managing site keys to ensure they have been distributed to relevant technicians prior to attendance and sign back in once technicians return them.
- Perform administrative tasks including processing of service reports, notifications for strata/site occupants and update records as necessary.
- Assisting in maintaining an organised and tidy office including ad-hoc duties.
**What we are looking for**:
- Commitment, reliability, punctuality, motivation and drive.
- Strong organisational, coordinating and structuring abilities.
- Highly skilled in being able to juggle priorities from competing jobs.
- Ability to forward plan in order to meet deadlines and forecast any possible issues ahead of time to avert jobs flow hiccups.
- Emphasis on accuracy, including spelling and grammar for professional presentation of all correspondence.
- Strong attention to detail, ensuring you have covered all areas for each job to the best of your ability and all documentation is well set out and clear.
- Superb command of English; both written and verbal, with excellent communication skills across all stakeholders and demographics.
- Excellent telephone etiquette with clear speaking voice and confidence when dealing with people from varying backgrounds.
- Advanced computer skills, focusing on MS Outlook, Word, Excel and also highly regarded (but not essential) SimPro.
- Demonstrate a pro-active approach and take responsibility for completion of daily/weekly tasks.
- A trade based scheduling background would be highly regarded.
- Good geographical understanding of Sydney metro area is necessary.
- Patience, consideration and understanding for others.
- Enthusiasm and initiative to the task at hand and in general passionate about doing the job to the best of your ability.
- Work as part of a team, but also able to work autonomously.
- Support the business as a whole through loyalty and dedication.
- Willingness to learn about our industry, processes and learn new software as required.
- Good listening skills; someone who can take in a variety of information and act upon that instruction.
- Bubbly personality with a good sense of humour, positive attitude and someone who can smile through even the most challenging of days.
