***About the role**:
The Project Accounts & AR Officer is a vital role within the Finance Operations team, responsible for ensuring the smooth and efficient operation of the function. This involves a diverse range of tasks, encompassing proactive debt collection, client service, and project accounts. By providing timely and accurate support, this role contributes to the overall financial health and operational efficiency of the organisation.
This role can be based in either of our Central Coast, Newcastle or Sydney offices, in a hybrid capacity.
**Day to day responsibilities include**:
- Set up and maintenance of project records in accordance with contract requirements
- Update and maintain WIP spreadsheet to facilitate Project Teams in accurate forecasting
- Prepare and issue a high volume of monthly progress claims, including liaising with clients and coordinating with Project Teams to ensure compliance with contract requirements
- Support the Accounts Receivable Officer to manage a complex, business-wide ledger, coordinating collection efforts for debts under 60 days, through targeted outbound calls, and personalized communication in alignment with the agreed collections schedule
- Regularly identify and report issues requiring the attention of the Accounts Receivable Officer to effectively escalate challenges hindering resolution of collections issues
- Build strong relationships with clients through proactive communication, a friendly and professional demeanour, and effective rapport-building to acquire information, ensure payment commitments are met and maintain client satisfaction and confidence
- Assist with collections by resolving client requests and queries, and conducting investigations and reconciliations on project accounts
- Month-End close processes, ensuring project financials are correct and align with forecasted amounts
- Support Project Teams in managing and understanding the financial performance of their projects
- Contribute to the continuous development and improvement of Project Accounts processes
**The talent you’ll bring**:
- Intermediate to Advanced Excel skills (e.g. proficient with pivot tables, VLOOKUP, IF functions, basic macros, conditional formatting)
- Strong problem solving and analytical skills with a proven ability to trouble-shoot
- Highly organised with time management skills and the ability to multi-task
- Process driven with a high level of attention to detail and accurate data entry skills
- Highly effective interpersonal skills and a demonstrated ability to communicate with team members, stakeholders and clients. Comfortable and confident to pick up the phone.
- Work effectively to meet deadlines, both independently and as part of a close team
- Excellent verbal and written communication skills
- Demonstrate professionalism and objectivity in all work matters
- Maintains discretion and confidentiality
- Construction industry experience or experience in a similar role is highly desirable
