**The Role**

The purpose of the role and your unique contribution is to provide a wide range of efficient and effective administrative, operational, project and business support two Executive Manager's. A growth mindset will be required to be successful in this role. To understand the bigger picture and be able to practively ‘read the play’ and be ‘ready for anything’.

This role interacts with a wide range of individuals and will be required to develop and manage key internal and external stakeholder relationships which are critical to the success and execution of the business strategy. This may include resolving stakeholder and customer queries as a key representative of the respective Executive Manager's

Well organised, flexible, thorough and self-motivating, the Assistant will have the ability to work autonomously, exhibit expert levels of written and verbal communication skills and demonstrate continuous attention to detail. An adaptable approach to all problems or opportunities faced will see you working cohesively to achieve desired outcomes. Another important component of this role is to build strong relationships within the immediate team and across the broader IAG business.

The Assistant is expected to exercise a high level of confidentiality and judgment whilst undertaking a number of concurrent tasks demonstrating excellent organisational, prioritisation, time and stakeholder management skills which are critical to this position.

**Key Responsibilities**

**Operational Performance**
- Efficient and proactive calendar and outlook management including informing the EM's of their schedule on a daily basis and preparing materials prior to meetings
- Process and approve invoices, credit card statements, travel requests and expenses within IAG guidelines and policies
- Manage travel arrangements
- Distribute reading material as directed and follow up any responses / replies prior to the due date
- Plan meetings and events to ensure:

- Rooms / venues, catering, and equipment are booked in advance
- Coordinate responses of invited attendees and logistics
- Preparation and distribution of meeting agenda and papers
- Assist the EM's and their direct reports in producing high quality reports, documents and presentations using advanced computer skills
- Maintain and update confidential files and records
- Build business acumen by attending leadership team meetings, to gain understanding of the business and how you can best support the EM's

**Customer**
- External stakeholder management and relationship management, able to engage a wide variety of individuals with the ability to adapt their style as required
- Experience in managing external stakeholder expectations
- Understand customer expectations and regularly provide insights to the EM's to ensure service levels are met and ways of working are improved
- Keeps up to date on industry trends and market impacts and use this information to help inform decisions on behalf of the EM"s

**Governance & Risk**:

- Assist the EM's on ensuring the team’s compliance with all group processes, guidelines, policies, standards and supervisory practices
- Contribute to a strong risk culture across the business where risks are anticipated and people raise, own and act upon issues of concern People
- Support safe and well activities, contribute towards creating connectedness within the team and driving a high performance culture
- Work with EGM/EM level assistant community to share knowledge, desired ways of working, efficiency opportunities and continue uplift of capability

**Skills & Experience**
- Strong computer literacy (essential)
- Strong written and verbal communication skills
- Ability to work in a highly ambiguous and fast paced environment
- Excellent time management skills with the ability to proiritise based on EM work demands
- High level of attention to detail
- Proactive, organised and professional with an ability to perform several tasks simultaneously
- Strict adherence to confidentiality at all times
- External stakeholder engagement including the development of beneficial business relationships with c-suite executives and other assistants
- Understands customer expectations and able to effectively meet demands of external requirements
