**Key Responsibilities**
- Organize and maintain client files, ensuring confidentiality and accuracy.
- Schedule and coordinate appointments, consultations, and tribunal hearings for Registered Migration Agents (RMAs).
- Act as the first point of contact for clients, handling inquiries and providing updates on case progress.
- Assist RMAs in researching visa subclasses, migration legislation, and policy updates.
- Use case management systems such as ImmiAccount and Migration Manager to maintain client records.
- Ensure office equipment and supplies are well-maintained and operational.
- Liaise with external organizations, such as the Department of Home Affairs and tribunals, to facilitate case resolution.
- Maintain compliance with workplace policies, occupational health and safety regulations, and relevant government legislation.
- Provide administrative support to the Director, including preparing reports and presentations as needed.
- Foster a collaborative and professional team environment by supporting and assisting office staff.
**Position Requirements**
- Certificate III or IV in Business Administration, Legal Studies, or a related field.
- Proven experience as a Legal Secretary or in a similar administrative role, preferably in the immigration or legal services sector.
- Strong organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and case management software.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain confidentiality.
- Knowledge of the Australian immigration industry and migration law is highly desirable.
- Ability to work independently and as part of a team in a fast-paced environment.
