**Position Objective**
- To provide efficient, effective and confidential executive support to the Executive Manager Finance.
- To contribute effectively and efficiently to the successful operation of the Executive Manager Finance and Procurement and Finance teams.
**Key Responsibilities**
- Provide confidential support and assistance to the Executive Manager Finance.
- Maintain the Executive Manager Finance Corporate Card statements.
- Liaise with Councillors, Executive Officers, Department heads and staff as appropriate.
- Manage and screen appointments and telephone calls.
- Prepare and/or draft reports, correspondence, minutes and memos.
- Prepare meeting agendas and take minutes of meetings.
- Organise meetings, functions and relevant catering.
- Prepare Purchase Orders and requisitions as required.
- Attend seminars and training sessions related to the position.
- Coordinate reports in the Resolve Agenda Management System for Executive, Councillor Briefings and Council meetings.
- Provide assistance in preparation of reports to the Audit and Risk Committee.
- Prepare PowerPoint presentations when necessary.
- Provide positive personal contribution to the successful operation of the Department.
- Maintain confidentiality in administrative support to the Executive Manager Finance and others as required.
- Carry out other duties commensurate with skills and abilities as deemed reasonable and appropriate to the role as directed from time to time.
- Risk Management - Accountable for the implementation and maintenance of sound risk management within the areas of responsibility and in accordance Organization's Risk - 2 - Management Policy.
- Create an environment where managing risk is accepted as the personal responsibility of each employee.
**Accountability and Extent of Authority**
This position is accountable for professional administrative support to the Executive Manager Finance.
This position has the authority to:
**Specialist Skills and Knowledge**
- Proven skills in providing administrative and secretarial support in a confidential environment.
- Sound knowledge of the Local Government industry.
- Proven ability to perform duties with mínimal supervision.
- Excellent oral and written communication skills.
- Excellent keyboard and typing skills.
- Proven knowledge of relevant technology (i.e. computers, printers, software, photocopiers, etc)
**Qualifications and Experience**
- Accurate word processing skills of at least 65wpm.
- Knowledge of Excel and PowerPoint.
- Ability to use computers and associated equipment competently.
- Excellent spelling and grammatical skills.
- Previous experience in a Local Government environment. (Desirable)
- Sound knowledge of the local area and community (Desirable).
**Interpersonal Skills**
- Well-developed communication and liaison skills.
- Ability to deal with internal and external contentious and specialist matters.
- Ability to provide empathy and support to residents, especially when the caller is irate.
