About the role
The Subscriptions Librarian is responsible for managing VGLS subscriptions for SSP client departments and agencies. This includes Whole of Victorian Government, multi
- and individual department subscriptions. The focus is on the provision of electronic journal and eBook packages, and online database subscriptions for client departments and agencies.
Key accountabilities
- Under the broad direction of the Manager - Collections and Technology Services Werribee, co-ordinate and manage all aspects of journal and eBook packages and online database subscriptions for the VGLS, including procurement, contract management, renewals, claims, monthly statistics and reporting, and usage analysis.
- Prepare annual library resource quotations for clients including the allocation of costs to ensure that sufficient funds will be available to meet subscription costs.
- Collaborate with library managers to secure financial contributions from clients for subscription products.
- Maintain co-operative and productive vendor relationships including seeking quotations, negotiation of pricing and resolution of issues.
- Maintain current information for all electronic journals, eBooks and database subscription licences managed by the VGLS.
- Provide access for users to quality subscriptions, ensuring compliance with copyright and intellectual property laws and licence agreements.
- Manage the financial administration related to serials and subscriptions, including receipt and payment of vendor invoices, ensuring that all purchasing activities comply with DTF financial guidelines.
- Actively contribute to the continuous reassessment and evaluation of library management systems, especially as they relate to access to subscription products.
- Work collaboratively with the Collections and Service Delivery teams in the VGLS to maintain and evaluate specialist library collections, make recommendations for the purchase of on-line resources (within established guidelines and budget) and ensure that the VGLS provides the most appropriate mix of print and electronic subscription products to meet the needs of VGLS clients.
- Provide information, guidance and assistance to library staff regarding subscriptions and access.
- Collect, manage and interpret data and statistics to support the reporting of key performance indicators.
- Proactively identify and communicate problems or emerging issues to the VGLS Managers, including recommending solutions to increase the efficiency of subscription management processes.
- Undertake other library duties as directed by the Manager(s), which may include attendance at sites other than the regular location, as resourcing needs require.

About you
To be considered for the role, you must be able to demonstrate:

- Experience and expertise in library serials and subscription management including a focus on end-user access and compliance with licence agreements.
- Experience and expertise in the delivery of contemporary library services.
- Demonstrated ability to achieve goals while adapting to changing priorities in a complex work environment.
- Excellent interpersonal and communication skills including the ability to influence, negotiate and gain support and cooperation for new ideas.
- Well-developed organisational skills including the ability to manage competing demands and meet deadlines.
- Proven literacy and numeracy skills, including attention to detail and a high level of accuracy.
- Ability to work effectively in a team environment and to build, maintain and encourage productive working relationships.

Experience and qualifications
- An approved degree or diploma and eligibility for professional membership of the Australian Library and Information Association (ALIA)
- Extensive experience working with the MS Office suite, including Excel and Word.
