The Department seeks an innovative and experienced Secretariat and Coordination Officer to join the Devices Engagement Section. As a Secretariat and Coordination Officer, you will perform a range of Secretariat duties, including managing two committees, stakeholder engagement, and coordination and drafting of ministerials, briefs and other correspondence on behalf of the two branches. You will contribute to the development of team plans and business processes and manage complex and non-complex requests for internal and external information requests for the branches. You will also have the opportunity to work as a staff member and provide coaching and training to new team members.
The Devices Engagement Section is part of a dynamic and innovative team that play key roles in the regulation and evaluation of internationally and domestically manufactured medical devices. As part of the Medical Device Branches, you will contribute to the vision of the Health Products Regulation Group (HPRG) ‘Better health and wellbeing for all Australians through regulatory excellence’ and the wider Department ‘Better health and wellbeing for all Australians now and for future generations.
**The key duties of the position include**:
- Provision of secretariat services to the Advisory Committee on Medical Devices (ACMD), Regulatory Technical Consultative Forum (RegTech) and the International Medical Devices Regulators Forum (IMDRF), including producing high-quality paperwork, preparation/organisation and prompt resolution of all issues relating to those committees, and actively ensuring TGA allocated actions are completed to a high standard and on time.
- Leading and ensuring cohesive business services across the Medical Devices Program, including (but not limited to) representing the branches at corporate services forums, internal program reporting, managing SharePoint content, internal communication, and staff inductions
- Coordinate, contribute to, quality check and circulate briefings to the committee, specialist advisors and senior executives
- Anticipate and appropriately respond to stakeholder needs and expectations
- Develop and support complex relationships with internal and external stakeholders
- Assist with internal and external information requests (FOI’s and Coord requests) for the two branches
- Support Branch coordination and draft ministerials, Question Time Briefs, Senate Estimates briefs and other correspondence
- Develop supporting structures for requests for Managers and Seniors Managers
- Support business relationships across all of Health
