We are currently seeking a highly organised and detail-oriented Document Controller to join our Bidding team in Melbourne.
The Document Controller is an important position which is critical to bidding for projects. In this position you will be focused on controlling, monitoring, maintaining and storing of all documentation relevant to each tender. You will be responsible for distribution of all documents to relevant clients and team members in a timely manner.
The Document Controller’s role will be to support the Bidding Team throughout the tender execution by ensuring that the tender information is being managed efficiently and correctly. They will also assist the bidding team by undertaking general administration management.
Please note that regular travel within Australia will be required to work with the national team.

- Accurately distribute, respond, and record all correspondence using SharePoint.
- Upload/download key documents from the Clients chosen system (Ansarada) and upload into the SharePoint and share with the team in a timely manner.
- Support the team with all maintenance and control of tender documentation.
- Assist the team with any SharePoint queries.
- Give correct access to SharePoint for team members, as advised by the Document Control Manager or Bid Manager.
- Maintain an RFI spreadsheet of all outgoing RFIs to the Client and incoming responses from the Client.
- Weekly RFI report to go to all team members.
- Assisting with the creation of BlueBeam sessions.
- Uploading of TANs for review into BlueBeam and setting expiry dates.
- Maintaining the TAN Register
- Closing out of TANs and issuing reviewed documentation to the Design team.
- Ensuring the Confidentiality Deed is signed by ALL persons prior to having access to SharePoint.
- Storing Confidentiality Deeds in SharePoint.
- Ensure the smooth flow of information and documents.
- Effectively manage your time to meet multiple deadlines.
- Ensure documents are stored in a confidential and secure environment.
- Assist Bid Manager with Ad-hoc and periodic internal and external reporting requirements.
Required Skills, Knowledge and Experience:
- 3+ years’ experience working as a Document Controller in the Construction, Engineering or Design industry.
- Demonstrated experience in information management, ideally in a large tender/project environment.
- Demonstrated ability using SharePoint and Bluebeam Revu (preferred).
