**Position Title**: Administration / Junior Book Keeper
**Key Responsibilities**:
**1. Collection & Documentation**
- Collect hard copy invoices, EFTPOS receipts, and completed job cards from the sales team
- Verify the accuracy and completeness of all documentation before processing
- Download and cross-reference invoices with Costar entries and PO numbers
**3. Sales Entry & Payment Reconciliation**
- Enter Costar sales references into MYOB
- Reconcile payments across various platforms (EFTPOS, eWAY, Braintree, PayPal, Afterpay, Zip, bank transfers)
- Maintain an accurate sales register and resolve payment discrepancies
**4. Job Card Administration**
- Finalize and close job cards post-payment verification
- Scan and link job cards to their MYOB records
**5. Supplier Invoice Reconciliation**
- Reconcile supplier statements with internal records and follow up on missing invoices
- Work closely with sales and suppliers to resolve discrepancies
**6. Reporting & Stock Management**
- Prepare internal reports on refunds, tolls, fuel, and inventory
- Conduct stock counts and investigate discrepancies with relevant team members
**7. General Admin Support**
- Order and manage kitchen and cleaning supplies
- Handle banking, courier dispatches, and postage as needed
- Maintain cleanliness in common areas
**Note**:
The **first week of each month** requires focused effort on supplier reconciliations, including following up on outstanding statements and collaborating with the sales and supervisory teams for issue resolution.
**Job Types**: Part-time, Casual
Pay: $50,837.08 - $87,062.61 per year
Expected hours: 25 - 40 per week
