We have an exciting opportunity for an Executive Assistant to our Executive Director and Executive Strategy Manager of our Place and Environment division.
For this role, you could be based in any of our major cities.
Our Executive Director is a member of the senior leadership team reporting to the CEO. This is a fantastic opportunity for someone who is keen to support a senior leader of a successful division and be part of a team of technical specialists who are passionate about creating sustainable environments and places for our clients.

**What you will be doing**
- You’ll have the opportunity to be across all aspects of the business and work with not only the Executive Director but also Regional and General Managers
- Your day-to-day duties will include:
- Diary management and booking meetings.
- Coordinating and attending monthly leadership meetings, including preparing the agenda and presentation along with taking and distributing the minutes.
- Facilitating and coordinating approvals in line with delegations of authority including capex requests, proposals, contracts, and any other documents.
- Organising all business-related travel arrangements for the Director/Executive General Manager and planning and coordinating any significant functions, activities, key meetings and events.
- Collating and preparing draft reports and documents, including national opportunity and pipeline reports and all other monthly reports.
- Formatting and distributing the monthly newsletter
- Drafting implementation plans for business improvement initiatives
- Providing a full range of administrative support services, such as submitting expense claims, completing timesheets, handling all incoming calls and correspondence, filing and records management, arranging travel, mail, photocopying and compiling reports.
**What you need to succeed**
- Intuition and initiative are key
- You will be a driven and energetic professional, with strong verbal and written communication skills.
- You will have extensive experience providing administrative and executive support at a senior level.
- Previous experience in organising meetings, events and conferences.
- Demonstrated stakeholder engagement skills/ability to build strong working relationships with a wide variety of people.
- Strong organisational skills and the ability to prioritise competing demands when under pressure.
- The ability to exercise discretion when dealing with confidential matters.
