**The Role**:
As a Reception/Office Administration Manager, you will be responsible for overseeing all administrative functions and managing the reception team & office administration. You will be the first point of contact for our customers and visitors, ensuring a welcoming and organized environment. This position requires a detail-oriented, organized, and proactive individual who can multitask and handle a variety of office duties.
**The Responsibilities**:
Reception & Team Management:
- Greet clients, visitors, and staff in a professional and friendly manner.
- Lead and supervise a team of two, ensuring smooth office operations.
- Delegate tasks, provide guidance, and encourage professional development.
Administrative Support:
- Manage and coordinate office supplies, equipment, and facilities.
- Schedule and coordinate meetings, appointments, and events.
- Assist in the preparation and distribution of internal and external documents.
- Handle incoming and outgoing mail and deliveries.
Data Management:
- Maintain and update company records and databases.
- Manage filing systems, both physical and digital.
- Prepare and review reports, presentations, and documents as needed.
Team Support:
- Provide administrative support to various departments, including each venue.
- Collaborate with all departments to ensure smooth office operations.
- Address and resolve customer and team complaints in a timely and professional manner.
- Employ critical thinking to find creative solutions to problems and challenges that may arise in daily operations.
- Collaborate with the team to identify process improvements and enhance the customer experience.
Customer and Vendor Relations:
- Ensure clients and visitors have a positive experience and are promptly attended to.
- Coordinate visitor and vendor appointments with appropriate personnel.
- Facilitate communication between in personnel, vendors, and customers.
**The Person**:
- Proven experience in administrative or office management roles.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft office
- Attention to detail and high levels of discretion.
- Knowledge of office equipment and basic IT troubleshooting.
- Familiarity with customer service best practices.
- Exceptional problem-solving and critical thinking skills.
- A bachelor's degree in a related field is a plus.
