About the Role:

Detailed Administrative Support for Principals and Teams

The Professional Services Support Coordinator will provide high-quality secretarial and administrative support to two Principals and their teams in our Private Business and Family Advisory division (approx. 12 staff). This role requires outstanding client service through quality, timely, and cost-effective administrative support.

You'll collaborate with a group of Practice Management Support personnel to facilitate administrative tasks, implement process improvements, and support internal social events.

  • Main Responsibilities:
  • Provide daily support to two Principals and their teams regarding all administrative and general requirements.
  • Manage document workflow, including scanning, filing, and documenting accurately.
  • Schedule meetings, prepare agendas, document minutes, distribute information packs, and chase actions.
  • Prepare correspondence for clients, including Tax Summaries, Bound Packs, Client Meeting Packs, and Mail Merge documentation.
  • Oversee ATO Portal communications and BAS Lodgments.
  • Maintain client information across practice systems for compliance and accuracy.
  • Coordinate WIP meetings to manage workflow and resource allocation.
  • Promote the firm's interests and brand by representing and championing us externally.
Key Requirements and Qualifications

We seek an experienced candidate with a strong background in delivering high-level support in an administrative or secretarial role. You must:

  • Have superior typing skills, with a minimum speed of 60 wpm and 98% accuracy.
  • Be proficient in MS Office Suite products, including Word, Excel, Outlook, and Teams.
  • Familiarity with accounting software, such as Xero, Now Infinity, and Practice Ignition.
  • Exhibit exceptional written and oral communication skills.
  • Display strong numeracy skills.
  • Showcase agility in managing priorities and deadlines.
