Administrative Officer to Chairman

Key Responsibilities:

As a highly organized and experienced administrative professional, you will provide high-level support to the Chairman and other members of the Executive Committee. Your duties will include managing board schedules, preparing board documents, and ensuring the smooth operation of the executive function.

Responsibilities:

  • Coordinate the scheduling of Board meetings and prepare Board reports and other documents as required
  • Manage overall office management for the corporate Head Office, acting as the primary contact for building management, cleaners and other tradespeople
  • Order stationery and other office & kitchen supplies as required to maintain smooth operations
  • Manage and monitor building access passes
  • Schedule monthly management meetings and ensure logistical arrangements are in place
  • Take meeting minutes and follow up on action items as required
  • Translate documents from English to Japanese and vice versa for the Chairman and ExCo as directed
  • Manage and upload content for the Secure Parking website to maintain accurate and up-to-date information

Requirements:

  • Fluent in both Japanese and English
  • Bachelor's degree in Business Administration or a related field
  • Proven experience as an administrative assistant or similar role
  • Ability to translate documents from English to Japanese & vice versa
  • Excellent time management skills
  • Strong attention to detail and effective organisational skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Discretion and confidentiality in handling sensitive information
  • Ability to work independently and prioritize tasks effectively
  • Detail-oriented with a high level of accuracy
