About the Role:

We are seeking a highly organized and detail-focused Facilities Management Coordinator to join our team in Brisbane and Sydney. As a key member of our facilities management team, you will be responsible for providing exceptional customer service and administrative support to meet the needs of our clients.

Your Key Responsibilities:

  • Provide administrative support to the contract administrator to assist staff in obtaining and maintaining security clearances.
  • Assist in carrying out safety procedures when needed and support the property risk management program.
  • Perform weekly consumables order, receive and store items, and provide receipts to the appropriate department for record-keeping.
  • Coordinate conference room bookings and prepare conference rooms for meetings, including ordering catering as required.
  • Oversee site cleanliness and provide direction to cleaning staff to ensure spaces are kept clean and tidy.
  • Assist in vendor management by ensuring subcontractors perform to required standards and inspecting vendors' work.
  • Support financial processes to ensure timely and accurate completion of financial management requirements.
  • Provide exceptional customer service to meet on-site client expectations.

What We're Looking For:

  • Experience in property/facilities/project management-related fields.
  • Receptionist experience and the ability to provide short-term support.
  • Advanced Excel skills.
  • Proficient in Microsoft office suite
  • Analytical and/or financial experience.
  • Excellent communication, organization, and interpersonal skills.
  • Goal-oriented with a focus on meeting performance targets.
  • Ability to work well in a team environment.
