Executive Governance Secretary Position

We are seeking an experienced professional to provide secretariat and governance support to a senior leadership team.

This role will ensure that meetings are well-organised, documented, and conducted in a compliant manner.

The successful candidate will become a subject matter expert and provide guidance on corporate governance requirements and obligations.

Main Responsibilities
  • Meeting Coordination: Establish and coordinate meetings, including scheduling, logistics, technology requirements, and catering
  • Agenda Preparation: Prepare and distribute agendas, pre-reading material, reports, and briefs in a timely manner, including liaison with stakeholders
  • Liaison and Communication: Liaise with senior leaders, board members, and stakeholders to gather, review, and finalise submissions
  • Minute Taking: Attend all meetings and take accurate minutes and circulate for review, finalisation, and endorsement
  • Decision Register: Maintain an accurate and up-to-date decisions and action items register and work with accountable members to enable status updates
About You
  • Experience: Previous experience in providing secretariat and/or executive officer level support to a senior leadership team or board is essential
  • Skillset: Strong communication, organisation, and time management skills, with the ability to work effectively and collaboratively with senior leaders and stakeholders
  • Adaptability: Ability to adapt written and verbal communication styles to suit different audiences and navigate complex, multi-stakeholder environments
  • Credentialing: Eligibility for a Negative Vetting Level 1 Defence security clearance is required
