Administrative Professional Role

The position of Administrative Professional is a dynamic opportunity to provide exceptional support to the Director, Innovation & Learning.

This role involves delivering administrative and secretarial services with a high level of efficiency and professionalism.

The successful candidate will be responsible for coordinating appointments, meetings, agendas, documents, and other commitments as required by the Learning and Innovation Unit and the Director.

Responsibilities include:

  • Minute taking and preparation of documents as requested by the Director of Innovation and Learning
  • Provide excellent customer experience
  • Manage expenditures by preparing financial invoices/electronic ordering/reimbursement
  • Booking maintenance, event preparation, AV and IT support for the Innovation and Learning Hub

The ideal candidate will have a strong ability to work autonomously within the scope of the role while maintaining a working knowledge of Alfred Health systems and processes.

Key Responsibilities

Administration Support:

• Provide efficient and professional administrative services to the Director, Innovation & Learning

• Coordinate meetings, appointments, and agendas as required

• Prepare and distribute meeting minutes and other documentation

Financial Management:

• Manage expenditures by preparing financial invoices and electronic orders

• Ensure accurate and timely reimbursement processing

Operational Support:

• Booking maintenance, events, AV, and IT support for the Innovation and Learning Hub

Communication and Collaboration:

• Develop and maintain effective relationships with stakeholders and team members

• Collaborate with colleagues to achieve program objectives

Personal Qualities:

• Excellent communication and interpersonal skills

• Strong organizational and time management abilities

• Ability to work independently and as part of a team
