Medical Administration Team Leads play a pivotal role in ensuring the seamless operation of administrative teams within medical practices.

Key Responsibilities:
  • Develop and implement efficient administrative workflows to streamline processes.
  • Design and maintain procedures, checklists, templates, and forms that meet high standards.
  • Assist with recruitment, selection, and onboarding processes to ensure a cohesive team dynamic.
  • Design and deliver comprehensive induction training programs tailored to specific roles.
  • Coordinate changes to rosters and backfill roles as needed to maintain operational continuity.
  • Oversee team administrative activities, provide support, and resolve issues efficiently.
  • Coach and develop the skills, knowledge, and abilities of team members to enhance job performance.
  • Serve as an administrative liaison for doctors, practitioners, and midwives, providing expert support.
  • Ensure the accuracy and currency of administrative IT systems and settings.
  • Provide timely and insightful reporting and recommendations to inform strategic decision-making.

Requirements include 3+ years of supervisory experience in General Practice, Allied Health, or Specialist Medical Practice (with OBGYN experience being advantageous). Proficiency in streamlining workflows, developing procedures, and maintaining accurate records is essential. The ideal candidate will possess sound understanding of medical protocols, terminology, and patient experience principles. Knowledge of Medicare/Private fund billing, claims processes, and item numbers is also required. Additionally, the successful candidate will have a strong grasp of employment, WHS, and W legislation and be proficient in Microsoft applications and Flow-charts. Experience working with medical software, particularly Clinic to Cloud, is desirable.

Qualifications:
  • Certificate IV in Business Administration, Health Administration, or Management.
  • Certificate IV in Training and Assessment or the Workplace Trainer Skill Set.
  • Department of Human Services Working with Children Check.
  • National Police Check (or willingness to obtain).
  • First Aid Officer (+CPR) and Emergency Warden (or willingness to train).
  • Willingness to undergo a Pre-Employment Medical.
  • Permanent work rights to live and work in Australia.
