We are seeking a highly organized and detail-oriented Facilities Operations Coordinator to join our Integrated Facilities Management (IFM) services business line. This role will provide facilities administrative support to the operations team, working closely with our client, Amazon.

About the Role:

  • Client Satisfaction: Ensure excellent facilities management and workplace engagement activities planning, advice, and support.
  • Facilities Management Operations Audits: Conduct regular audits to ensure compliance with company policies and procedures.
  • Office Tours and Introduction: Provide office tours and introduction for new hires, showcasing our facilities and ensuring a smooth onboarding process.
  • Vendor Management: Ensure vendors deliver services on time and within budget, effectively managing vendor relationships.
  • Financial Management: Process vendor invoices and update invoice trackers accurately and efficiently.
  • Emergency Situations: Attend emergency situations, prepare incident reports, and upload them to both JLL and client systems.
  • Event Coordination: Assist with onsite event setup and coordination as required.
  • Fault and Query Management: Manage all faults and queries raised through the helpdesk effectively.
  • Landlord Liaison: Liaise with the landlord on matters relating to the premises.

Requirements and Qualifications:

  • A degree or diploma in Business Administration, Finance, Facilities, or an equivalent qualification.
  • Prior experience in Finance, Hospitality, Property Management, or Facilities Management.
  • A proven track record of building and maintaining relationships, dealing with ambiguity, and solving complex problems effectively.
