About the Role

We are seeking an experienced Program Management Specialist to join our team on a contract basis. As a Program Management Specialist, you will be responsible for managing all aspects of academic course delivery, from scheduling and resource coordination to supporting facilitators and engaging with students.

Key Responsibilities:

  • Course Coordination (75%)
    • Course Planning and Scheduling: Develop and manage course schedules, ensuring they align with the guidelines and academic calendars.
    • Facilitator Support: Serve as the primary point of contact for faculty, providing essential administrative support, preparing course materials, and assisting with classroom and online setup.
    • Student Engagement: Handle student inquiries, provide guidance, and support communication to foster a positive learning experience.
    • Course Evaluations and Feedback: Track evaluations, gather feedback, and generate reports to aid continuous improvement.
    • Resource Coordination: Ensure facilitators have the necessary materials, including textbooks, digital resources, and instructional tools.
    • LMS Administration: Assist with administering the departments Learning Management System, from uploading materials to tracking student progress.
    • Academic Reporting: Maintain course rosters, grades, and all relevant academic documentation.
  • General Administration (25%)
    • Financial Management: Track expenditures, process invoices, manage vendor payments, and assist with financial reporting as required.
    • Procurement and Contracts: Support procurement and contract management within the department's policies.
    • Concierge and Support Services: Coordinate logistics, catering, and visitor support for events.
    • Administrative Support: Manage record-keeping, filing, correspondence, and shared mailboxes for smooth daily operations.

Estimated Salary: AU$70,000 - AU$90,000 per annum, depending on experience.

The Ideal Candidate:

  • Experience in customer service and administration ideal.
  • Proficiency in LMS administration or a readiness to learn quickly.
  • Strong verbal and written communication skills for effective stakeholder management.
  • Adaptability to changing needs and the ability to prioritise tasks.
  • Exceptional organisational and multitasking skills.
  • Financial management and procurement experience (desirable).
