About You :

  • You hold a minimum Cert II in Business Administration or equivalent degree;
  • If you don't have formal education but have at least three years of experience as a receptionist or similar Administrator role, we encourage you to apply.

Job Summary :

This role involves performing a wide range of administrative and office support tasks to facilitate the efficient operation of our accounting team. Specifically, you'll provide exceptional executive support to our dedicated partners to enable them to perform their roles optimally. You'll also oversee communications and lead administrative expectations and tasks to ensure effective organisational flow for all office/executive operations. This role requires assistance to the administrative team in providing an efficient, organised, clean, healthy office atmosphere.

Key Requirements :

  • You have a minimum of three years' experience as a receptionist or similar Administrator role;
  • Strong attention to detail is crucial;
  • You're willing to learn and share knowledge;
  • You're client-focused and enjoy working within a close-knit team environment;
  • You possess excellent communication and people skills;
  • You have strong organisational and administrative skills;
  • Experience with Xero Practice Manager would be advantageous;
  • You're highly proficient in Microsoft Office functions.

Responsibilities :

  • You'll undertake general administration duties for your designated team, including collating tax returns, binding, and scanning;
  • You'll provide seamless coverage for inbound office phone lines in conjunction with the Office Manager and extended Administration team;
  • You'll handle requests for information and data from clients and your team;
  • You'll greet visitors, determine the nature of their business, and escort them to the appropriate person;
  • You'll prepare all letters pertaining to administration, including ethical letters and Accountant's letters;
  • You'll ensure timely delivery of information to clients as instructed by your team, whether physically or electronically;
  • You'll process credit card payments over the phone;
  • You'll assist with writing administration processes;
  • You'll create, edit & format Word, Excel & PowerPoint documents at an advanced level;
  • You'll compose & proof-read correspondence and/or reports from dictation, verbal direction, or from knowledge of company policy or procedures; files correspondence and other records;
  • You'll assist designated partners with daily administration tasks as required, including:
  • Composing and typing correspondence from dictation, verbal direction, or from knowledge of company policy or procedures, filing correspondence and other records accordingly in our internal document management system;
  • Handling administrative details, usually of a confidential nature, on behalf of executives, using considerable judgment and initiative to determine the approach or action to take in non-routine situations;
  • Scheduling appointments for executives, arranging travel schedules and reservations;
  • Other ad-hoc activities as needed by your team.
