Event Manager Job Description

WestCycle is seeking a dynamic and experienced Events Manager to lead a diverse portfolio of mass participation and community-focused events, including large scale cycling events to family-oriented community activities.

The ideal candidate will be a strong leader who inspires and supports others, while being hands on and takes ownership of every aspect of event delivery.

Key Responsibilities:

  1. Lead the end-to-end planning and execution of all WestCycle run events.
  2. Manage the on-day event coordination of all WestCycle run events including event setup, signage, logistics, volunteer coordination and pack down.
  3. Manage all third-party event logistic providers and contractors.
  4. Create and manage event documentation such as event management, risk management and emergency management plans.
  5. Manage and submit all required approvals for events including Council; Local Police and State Police (Traffic) and Main Roads.
  6. Manage all aspects of Traffic Management Plans for WestCycle run events.
  7. Manage the timeline and key milestones for WestCycle events
  8. Set up event registration systems and lead rider pack collections
  9. Execute and source sponsorship opportunities
  10. Work closely with the communications team to coordinate event marketing campaigns.
  11. Ensure all event personnel including contractors and volunteers, hold valid Working With Children Checks where required.

Finance:

  1. Develop and manage budgets alongside Senior Management for all WestCycle run events, accounting for all expenditure on events within approved budgets.
  2. Working with Senior Management to ensure that events are meeting all business financial targets.
  3. Contractor invoice reconciliation and processing.
  4. Ensure cost effective procurement and value for money across all event operations
  5. Manage all volunteer requirements of WestCycle events
  6. Create and manage a volunteer data base
  7. Look at opportunities to foster volunteer support and recognition programs

Selection Criteria:

Possess relevant qualifications in event management or have equivalent practical experience demonstrating a strong capability in managing both mass participation and community-focused events.

Experience in managing and forecasting event budgets, with the ability to optimise resources and track financial performance.

Ability to work collaboratively within a team environment while managing individual responsibilities.

Skills in handling unexpected challenges and emergencies during events, with a proactive approach to problem-solving and risk management.

Strong computer literacy, including proficiency with event management software and tools.

Excellent time management skills with the ability to prioritise and manage multiple tasks efficiently.

Understanding of the cycling industry including key drivers, challenges and opportunities within Western Australia.

Knowledge of digital marketing strategies, social media management, and content creation to effectively promote events and engage with diverse audiences.

Experience developing sponsorship packages and a track record of securing sponsorships
