Job Overview

We are seeking a highly skilled and organized Chief of Staff/Project Manager to provide strategic support to our internal operations.

This role will involve managing project details, establishing communication and reporting mechanisms with team leads, identifying tools for improved internal communications and reporting, and overseeing database usage.

  • Manage project schedules, coordinate staff meetings, monitor staff workflow, and analyze staff hours.
  • Collaborate with affiliates to manage website oversight, support membership recruitment and retention programs, track ad revenue, and review support issues with association management software.
  • Attend monthly and annual Board meetings, including in-person events.

Key Responsibilities:

  • Project Management:
    • Develop and implement project plans, identify resource requirements, and ensure timely delivery.
    • Analyze data to inform business decisions and improve operational efficiency.
  • Collaboration with Affiliates:
    • Build and maintain strong relationships with affiliate teams, communicate effectively, and resolve conflicts.
    • Foster a culture of collaboration and open communication within the organization.
  • Meeting Support:
    • Prepare meeting materials, coordinate logistics, and ensure smooth execution.
    • Serve as a liaison between teams, facilitating effective communication and issue resolution.

Requirements:

  • Possess excellent project management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Demonstrate strong organizational and time management skills, with a focus on attention to detail and quality output.
  • Showcase exceptional communication and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
  • Proficient in Microsoft Office Suite, with experience using databases and other productivity tools.
  • Able to work independently, with minimal supervision, and as part of a team, demonstrating adaptability and flexibility.
