About the Role

We are seeking a highly organized and detail-oriented Fleet Operations Coordinator to join our team at Ventura Bus Lines.

Job Description

This is an exciting opportunity to work in a fast-paced environment where you will be responsible for managing the day-to-day administration of our bus fleet. Your primary focus will be on ensuring the smooth operation of our vehicles, from maintenance and registration to reporting and compliance.

You will work closely with the fleet department, employees, and external stakeholders to provide administrative assistance and support. This role requires a strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks simultaneously.

Key Responsibilities
  • Manage vehicle accounts, including annual registrations, fuel cards, tolls, and insurance
  • Liaise with Vic Roads to ensure our fleet is compliant with registration requirements
  • Maintain and update monthly reporting for Department of Transport & Planning (DTP)
  • Record and manage data using the company maintenance system (TIMS)
  • Set up new vehicles and expire existing ones at the end of their life cycle
  • Extract data from TIMS and format it into reporting context
  • Provide weekly and monthly reports to the General Manager of Fleet Maintenance and government departments
  • Take minutes for Fleet and Maintenance meetings
Requirements

To be successful in this role, you will need:

  • Extensive experience in administrative or coordination roles, ideally within transportation or related industries
  • Advanced Microsoft Office Suite skills, including Word, PowerPoint, and Excel
  • Excellent communication and customer service skills
  • Strong problem-solving skills and the ability to implement new processes
  • Ability to work independently and as part of a team
