The Opportunity

We are seeking an exceptional Chief Operations Coordinator to play a critical role in ensuring the smooth operation of our Chief Executive Officer's (CEO) office. As a high-level administrative and executive support professional, you will enable the CEO to focus on strategic leadership priorities.

Your Key Responsibilities

  • Executive Support: Manage the CEO's calendar, coordinate meetings, handle correspondence, and ensure the CEO is well-prepared for all engagements.
  • Communication Management: Serve as the primary point of contact for communications with the CEO's office, ensuring timely and efficient information flow with internal and external stakeholders.
  • Meeting and Event Coordination: Organise meetings and events, including preparing agendas, briefing materials, and logistical arrangements. Take minutes as needed and ensure seamless execution.
  • Travel Coordination: Plan and manage the CEO's travel arrangements, including bookings, itineraries, and travel documentation.
  • Document and File Management: Maintain organised and easily accessible records and files for the CEO's office.
  • Special Project Support: Assist with the coordination and administration of special projects, including preparing reports and tracking progress.
  • Stakeholder Engagement Assistance: Support the CEO in engaging with partners, government agencies, and other stakeholders by scheduling meetings and preparing relevant materials.

  • You will leverage your experience in executive support to provide seamless assistance to a senior leader, ensuring all tasks are completed to a high standard.
  • You will demonstrate excellent communication skills to liaise effectively with internal and external stakeholders and manage sensitive correspondence.
  • You will apply your attention to detail to ensure accuracy in documentation, reports, and file management.
  • You will contribute to the smooth execution of meetings and events through effective planning and coordination.
  • You will bring your initiative and problem-solving skills to independently manage tasks and identify opportunities for improvement.
