Our organisation seeks a highly skilled and experienced Events Coordinator to join our team. As a key member of our operations, you will be responsible for planning and executing engaging educational events for healthcare professionals in Australia and New Zealand.

The role involves managing event logistics, travel bookings, compliance processes, and budgeting while building strong relationships with internal teams and external partners.

To succeed in this position, you will need to possess strong organisational skills, able to manage multiple priorities and meet deadlines. You will also excel at building relationships and communicating effectively.

You will have the opportunity to work with various stakeholders, including venues, travel providers, catering, AV, and other vendors. You will also handle participant travel bookings according to company policy and ensure smooth delivery of all on-site event activities.

In addition to your event coordination experience, you will have proven administrative skills, able to process and reconcile event-related expenses via Concur. You will also monitor budgets, track expenses, and handle accruals.

We are looking for someone who is confident working with systems like CVENT, Concur, and Medispend, or willing to learn. Proficiency in Microsoft Office and comfort working with data and reporting are also essential.

A qualification in business administration or event management is highly desirable.

Travel expectations include approximately 20% of the time spent traveling to support ZBI ANZ events on-site as required.

  • Your main responsibilities will include:

  • Planning and coordinating medical education events across Australia and New Zealand

  • Managing registrations, promotional materials, websites, and event reporting

  • Serving as the main contact for venues, travel providers, catering, AV, and other vendors

  • Handling participant travel bookings according to company policy

  • Ensuring smooth delivery of all on-site event activities

  • Preparing and managing event documentation to meet global compliance standards

  • Maintaining accurate records in systems like Medispend and supporting internal and external audits

  • Processing and reconciling event-related expenses via Concur

  • Monitoring budgets, tracking expenses, and handling accruals
