The ideal candidate will have a strong background in administration, with excellent communication and organizational skills. The successful candidate will be responsible for managing the director's diary, coordinating meetings, preparing reports and presentations, and maintaining accurate records. They will also be the primary point of contact for clients, contractors, and Franchisees, providing exceptional customer service and ensuring that all queries are resolved promptly and efficiently.

We are looking for someone who is a team player, with a flexible approach and a willingness to adapt to changing priorities. Bilingual in English & Mandarin (verbal & written) is preferred but not required. MUST HAVE full Australian work rights.

Responsibilities:
  • Diary Management - manage and organize the director's diary on a daily, weekly, monthly, and annual basis.
  • Email Management – review and organize the action lists, filing, and follow-ups.
  • Booking Meetings.
  • Ensure meetings begin on time with material prepared and provided in advance.
  • Make travel arrangements for senior team, including itineraries when asked.
  • Electronic & Paper Filing and establish and maintain electronic filing system.
  • Database Entry.
  • Client & staff liaison - Be the first point of contact for clients, contractors, and Franchisees.
  • Expense Reconciliation.
  • Accounts Payable.
  • Manage Franchisee enquiry, follow up potential franchisees and senior leaders.
  • Ensure office is tidy.
  • Ad Hoc duties as required.
  • Help to resolve basic IT issues.
